Provide administrative coordination to support the Convention and Tourism Sales teams in increasing exposure and revenue for group tours, show tickets, and private events at Opry Entertainment Group (OEG). Provide administrative support, lead follow-up, client interaction, and sales tracking and reporting. Reports to Director of Sales.
- Serve as initial contact for tourism sales clients requesting group-based sales collateral.
- Expedite accurate and professional responses to inquiries and leads (25 tickets and under), focusing on client service to increase sales.
- Facilitate lead distribution to sales managers based on pre-defined territories and assignments, ensuring equitable and timely distribution of leads, tracking the timing of follow-up, and maintaining all materials for fulfillment.
- Serve as backup contact for sales managers, providing valuable continuity for clients. May also attend industry trade events on behalf of the sales teams, including out-of-market events.
- Maintain database system, including data entry of new or potential clients into the contact management system. Generate reports and review orders in ticketing systems. Ensure data entry is correct and consistent between systems.
- Track sales contracts and work with service team to ensure deposit/payment/reduction/cancellation policies are followed.
- Track expenses, process invoices, prepare expense reports and maintain attraction sales budget forms.
- Update sales presentation information for websites, profile sheets and sales kits.
- Prepare sales kits, information and promotional items for industry promotional events and site visits.
- Coordinate and assist with on-site promotions, shows, and events.
- Perform other duties as assigned.
- High school diploma or equivalent required
- Additional education in sales or marketing preferred
- 2+ years experience in guest services or hospitality, or retail with focus on sales required
- Experience CRM and ticketing systems preferred
- Strong interpersonal, written and verbal communication skills
- Ability to deal with both internal and external customers
- Strong organization skills, ability to prioritize and manage multiple tasks required
- Must be a self-starter and self-motivated
- Proficient Microsoft Office application and PC skills required
