Position Description

The Facilities Coordinator is responsible for processing all incoming and outgoing mail, assisting with large mailings, maintaining internal and external inventory, supply inventory replenishment, support of office security, support in the preparation for exam administration, equipment troubleshooting, minor repairs, and other office support services as directed.

Education
  • High School Diploma or GED
Skills
  • Able to follow specific instructions in detail.
  • Good organization and accuracy skills.
  • Ability to meet scheduled deadlines.
  • Ability to prioritize, organize and manage multiple projects.
  • Ability to operate and troubleshoot office equipment, including, but not limited to, photocopiers and printers.

  • Excellent verbal and written communication skills.
  • Experience with Microsoft Office software.
  • Ability to meet physical responsibilities.
Experience
  • Minimum of two years of progressive experience directly related to the duties and responsibilities identified, preferably in an office environment.
Specific Responsibilities
  1. Mail
  • Correctly applies postage to outgoing mail every day and take to the building mailroom before building pickup time.
  • Deliver any received packages to staff daily.
  • Assists with bulky package shipments, ex. Marketing booths, Board meeting equipment.

2. External Storage/Inventory
  • Assist with off-site inventory.
  • Assists with fixed assets semi-annual inventory.
  • Assist with staff auction setup.
3. Supply Inventory
  • Restocks all office supplies and needed.
  • Restocks breakrooms as needed.
  • Restock coffee machine and supplies.
  • Notifies the Office and Facilities Manager when inventory is low.
4. Office Support Services
  • Know and can teach other employees about each piece of equipment, including the photocopier, printers and scanners, etc.
  • Ensure primary copier and workgroup printers are stocked with paper.
  • Assist with room setup for the APPLIED exam and licensee meetings. Assist in physically moving furniture as needed to ensure rooms are prepped according to requirements. Physically help vendor to reset rooms at the end of the week.
  • Be available during scheduled meetings for support and troubleshooting of issues.
  • Walk HQ floor each day and alert Office and Facilities Manager of any findings. Walk AIME center each day and alert Office/Facilities Manager of any findings.
  • Works with outside vendors as requested by manager.
5. Other Duties
  • Assists in supporting other department functions during periods of PTO, vacations, or illnesses.
  • Ability to assemble things when needed.
  • Ability to make minor repairs when needed.
  • Other duties as assigned.
Special Requirements
  • Work involves possible exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, and/or loud noises.
  • Extensive physical activity. Requires occasional strenuous physical work; heavy lifting, pushing, or pulling required of objects over 60 pounds.
  • Must be able to bend, stoop, and crouch as needed.
  • Must be able to sit, stand, and/or walk for long periods of time.
  • Must be able to work onsite in Raleigh, NC daily. May require evening or weekend assignments.
