HRIS Specialist

The HRIS Specialist is responsible for managing, maintaining and optimizing the Human Resources Information System (HRIS). This role serves as a bridge between HR and IT, ensuring the seamless integration of HR Technologies and processes to support data-driven decision-making and organizational goals. This is also responsible for metrics reporting, dashboard creations and maintaining compliance within the system. The HRIS Specialist is also responsible for administrative tasks within the system, to include electronic employee file maintenance.

Essential Job Functions

System Administration
  • Manage and maintain the HRIS, ensuring data integrity and system functionality.
  • Configure and customize system workflows, fields, and user roles to align with organizational needs.
  • Monitor system performance and troubleshoot technical issues in coordination with IT and vendors.
  • Perform regular system audits to ensure data accuracy and compliance with regulations.
  • Implement software updates, patches, and system enhancements in collaboration with HR and IT teams.
Data Management & Reporting
  • Input, manage, and update employee data in the HRIS while ensuring accuracy and confidentiality.
  • Develop and deliver custom reports and dashboards for HR metrics, compliance reporting, and decision-making.
  • Analyze HR data trends and provide insights to support strategic initiatives.
  • Ensure compliance with data privacy regulations (e.g., GDPR, CCPA) and company policies regarding employee information.
Training & Support
  • Provide end-user training and support for HRIS functionality, including onboarding new users and troubleshooting issues.
  • Serve as the primary point of contact for HRIS-related inquiries and technical support.
  • Create user guides, FAQs, and other documentation to improve system understanding and efficiency.
Project Management
  • Lead or support HRIS-related projects, including implementation of new modules, upgrades, and system integrations.
  • Collaborate with cross-functional teams (e.g., IT, Payroll, Benefits) to streamline processes and ensure system alignment.
  • Research and recommend HRIS improvements and new technologies to enhance system capabilities.
Compliance & Security
  • Maintain strict confidentiality of employee data and ensure compliance with applicable laws and regulations.
  • Partner with compliance and IT teams to monitor system security and access controls.
  • Support audits and reporting requirements by providing accurate data and documentation.
Education and Experience
  • Bachelor’s degree in Human Resources, Information Technology, Business Administration, or a related field.
  • 2+ years of experience in HRIS administration, system configuration, or a related role.
  • Strong proficiency with HRIS systems and advanced Excel skills.
  • Understanding of HR processes, including payroll, benefits, recruiting, and performance management.
  • Experience with system integrations and data migration is a plus.
  • Excellent problem-solving and analytical skills with a keen attention to detail.
  • Strong communication and interpersonal skills, with the ability to explain technical concepts to non-technical users.
     
Physical Requirements
Constant sedentary work for prolonged periods up to 100% of the time with occasional moving and transporting up to 10 pounds. Must be able to detect, identify, inspect, observe, perceive and assess human resources tasks, processes, procedures, and projects. Must be able to constantly communicate and exchange accurate information. Constantly operates and uses computer and other relevant equipment and office machinery. Constantly works around firearms, bladed weaponry, militaria, historic relics, and valuable collectibles.
