POSITION SUMMARY

The Executive Relations Director (ERD) will serve as a force multiplier for the President & CEO, ensuring their highest and best use of time by strategically managing their calendar, coordinating meetings, travel, and dedicated blocks for strategy and focused work. This role involves anticipating the CEO's needs, acting as a gatekeeper for incoming requests, managing their inbox, and ensuring timely follow-up on action items from meetings and events. The ERD will also provide comprehensive support for the Board of Directors, acting as the liaison between the CEO and the Board, managing logistics, preparing materials, and maintaining accurate meeting minutes. The ideal candidate will demonstrate exceptional organizational skills, discretion, and the ability to effectively prioritize and coordinate high-level activities, maximizing efficiency and alignment with organizational priorities.

PRIMARY RESPONSIBILITIES

The Executive Relations Director's responsibilities will encompass three primary areas:

Ensure President & CEO's Highest and Best Use of Time
    • Strategically manage and optimize the CEO's calendar by coordinating meetings, travel, events, and time blocks for focused work ensuring alignment with organizational priorities.
    • Proactively manage and prioritize the CEO's email inbox, filtering and organizing messages, responding to routine inquiries, and flagging urgent matters to ensure timely and efficient communication.
    • Attend meetings and events alongside or on behalf of the CEO, ensuring timely and thorough follow-up on all action items to maintain progress and accountability.
    • Act as a gatekeeper by assessing the urgency and importance of incoming requests, inquiries, and communications, discerning which matters reach the CEO's attention.
    • Anticipate the CEO's needs and proactively arrange for materials, tools, or resources required for upcoming engagements or projects, synthesizing information when necessary.
    • Plan and oversee detailed domestic travel arrangements, including flights, accommodations, and logistics, to ensure smooth and efficient itineraries.
    • Draft and refine professional communications, including emails, reports, board related materials and other documents, to align with the CEO's goals and organizational priorities.
    • Gather and organize briefing materials, agendas, and relevant data for the CEO's meetings, ensuring the CEO is fully prepared to engage effectively.
    • Track and monitor the CEO's key projects and initiatives, ensuring deadlines are met and deliverables are aligned with strategic objectives.
    • Maintain relationships with key stakeholders, including clients, partners, and team members, to manage expectations and facilitate efficient communication with the CEO.
    • Occasionally assist with personal tasks or responsibilities, such as managing personal appointments, events, or correspondence, to ensure the CEO can focus on priorities.
Board & Committee Interaction and Support
    • Serve as the primary liaison between the CEO and the Board of Directors, fostering strong, professional relationships to ensure clear communication and alignment.
    • Prepare and manage all aspects of Board and committee related activities, including scheduling meetings, developing agendas, AV, and coordinating logistics to ensure seamless execution.
    • Compile information and contribute to Board and committee presentations, reports, talking points, and strategic briefing materials, ensuring accuracy and alignment with strategic priorities.
    • Draft talking points, correspondence, and other communications for the CEO in preparation for Board meetings and engagements.
    • Record, prepare, and distribute accurate and detailed meeting minutes, capturing key discussions, decisions, deliverables, and deadlines.
    • Maintain a system to track and monitor follow-up actions, ensuring timely completion of deliverables and adherence to deadlines by responsible parties.
    • Facilitate adherence to organizational policies and governance protocols for Board-related procedures.
    • Proactively anticipate the needs of Board members, addressing inquiries, providing resources, technical troubleshooting, and managing relationships with professionalism and discretion.
Executive Team Support
    • Organize and prepare for high-level meetings, including drafting agendas, managing logistics, and ensuring timely follow-ups on action items across executive team.
    • Support the execution of strategic initiatives by tracking progress, managing deliverables, and ensuring deadlines are met for various projects across executive team.
    • Foster a collaborative and tightly knit executive team that is aligned on goals and strategic objectives by managing structures and processes that support strong communications.
    • Serve as a knowledge hub for the executive team by understanding the interconnectedness of initiative and projects that relate specifically to the CEO, identifying needs and ensuring key individuals are included in relevant discussions.
    • Occasionally assist executives with administrative tasks such as scheduling and travel.
WHAT POSITIONS YOU FOR SUCCESS
    • 8+ years proven experience as an executive assistant or similar role supporting C-level executives, preferably CEOs.
    • Bachelor's degree in Business Administration, Management, or related field is highly preferred. Advanced certifications in executive assistance or project management could be advantageous.
    • Prior experience working extensively with boards of directors.
    • Expert in prioritizing tasks with exceptional attention to detail.
    • Polished and professional communication skills, both verbal and written.
    • Culture and values champion through staying attuned to team dynamics, modeling behaviors, leading by example and serving as a trusted resource.
    • Ability to build and maintain positive relationships internally and externally.
    • Carry yourself with professional maturity, discretion and high emotional intelligence.
    • Proven ability to anticipate needs and proactively manage ahead for potential conflicts.
    • Strong discernment when balancing priorities and ability to take appropriate action based on urgency and importance.
    • Capable of delegating, tracking and following up on tasks appropriately, ensuring that team members are aligned with the CEO's goals and project objectives.
    • Proficiency in Microsoft Office, Teams, OneDrive, and Board related applications.
    • Familiarity with organizational policies and board governance protocols to ensure proper adherence a plus.


SALARY

Salary Range of $105,000 - $115,000

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopier/scanner, filing cabinets, and fax machines.

•The in-office time requirements are estimated at 50% - 75%, depending on current activities and events.
