Description of the Position: (Purpose of the Position):
To provide clerical office support for staff such as running general errands around campus,
scanning and photocopying materials for department use, researching information, creating and
maintaining Institute documentation and website, as well as other duties as assigned.
Transferable Skills:
The Office Assistant will learn office etiquette and workplace protocols including how to
communicate clearly and efficiently in person and via email with staff, co-workers, and guests of
the Institute. Additionally, they will learn how to prioritize work projects, problem solve, meet
deadlines, and interact with co-workers on collaborative work projects.
Duties and Responsibilities:
•Assist with various work projects listening closely to details of all project requirements,
following guidelines and expectations to ensure a quality product is delivered by the
deadline
•Perform scanning and copying of various items ensuring quality control is met
•Must be able to show up to shifts on time and work consistently throughout the work shift
•Perform various campus errands including making purchases on campus for the office
Qualifications: (Education/Experience/Skills)
•Strong listening, writing and communications skills or willingness to learn
•Keen attention to detail
•Ability to take direction from multiple staff members including the Coordinator and
Director of the IFC•Ability and willingness to ask questions and communicate clearly as situations arise
and/or change in the workplace
•Ability to take responsibility for projects and communicate effectively with other student
workers, supervisor, and staff members to update them on projects
•Working knowledge of and willingness to learn Microsoft Word, Excel, Adobe Photoshop
and Acrobat software
•Ability to get along with a variety of people in the workplace
•Ability to stay calm and work well under pressure with deadlines
•Ability to come to work when scheduled, and work consistently and efficiently to meet
deadlines
•Able to follow through and communicate project status with co-workers and supervisor
•Ability to maintain confidentiality at all times, be professional, dependable, hardworking,
trustworthy and discrete
Preferred Qualifications:
•Experience using WordPress
•Knowledge of marketing techniques (email, blogs, social media, etc.)
