Public Counsel operates eight legal projects: Children’s Rights, Community Development, Consumer Rights & Economic Justice, Homelessness Prevention, Immigrants’ Rights, Veterans’ Advancement, Gender Justice, and our impact litigation project, Opportunity Under Law.
Public Counsel has a full-time staff of approximately 160. POSITION OVERVIEW
Public Counsel seeks an experienced and dynamic Executive Assistant to provide high-level administrative support to the CEO and Executive Team. The Executive Assistant will play a pivotal role in ensuring the efficient operation of the organization by managing the day-to-day activities of the executive office, maintaining strong communication across departments, and serving as a key liaison between the Executive Team, Public Counsel staff, a large Board of Directors, and external stakeholders. This is an excellent opportunity for a detail-oriented and proactive professional with strong communication skills to contribute to the mission of Public Counsel.
ROLES & RESPONSIBILITIES
Administrative Support for the CEO and Executive Team:
Manage the calendars of the CEO and Executive Team, including scheduling meetings, appointments, and travel arrangements while ensuring efficient time management.
Coordinate and provide logistical support for Executive Team, management, and all staff meetings and retreats, including preparing agendas, taking minutes as needed, and managing follow-ups.
Handle correspondence on behalf of the CEO and Executive Team, including drafting, editing, and proofreading communications.
Track deadlines, projects, and priorities, ensuring timely completion of tasks by the executive team.
Prepare expense reports, reconcile credit card statements, assist with timekeeping, and handle related administrative tasks for the CEO and Executive Team.
Operational and Organizational Support:
Serve as a liaison between the Executive Team and staff, maintaining clear communication.
Maintain and update organizational documents, records, databases, and filing systems.
Support organizational initiatives, including coordinating events and meetings, overseeing special projects, and facilitating internal and external communications.
Ensure successful event execution by coordinating with facilities and development teams and supporting logistics such as venue set-up, catering, and attendee communications.
Provide support in preparing and proofreading documents for internal and external audiences as needed.
Board Engagement and Support:
Serve as the primary administrative liaison between the CEO and Executive Team and the Board of Directors.
Coordinate all Board-related activities, including scheduling meetings, preparing agenda and notes templates, and distributing meeting materials.
Assist in the planning and execution of Board retreats, committee meetings, and strategic planning sessions.
Maintain organized and accurate records of Board documents, including resolutions, bylaws, and meeting records.
Provide logistical and administrative support to Board committees, ensuring seamless communication and efficient operation.
Project Management:
Lead or participate in special projects and initiatives as assigned by the CEO or Executive Team, ensuring alignment with organizational goals.
Monitor project timelines and milestones, providing regular updates to relevant stakeholders.
Relationship Management:
Maintain relationships with external stakeholders, including donors, community partners, and board members, ensuring professionalism and responsiveness in all interactions.
Manage confidential information with discretion and a high level of professionalism.
Represent Public Counsel’s executive office with a commitment to its values of justice, equity, and inclusion.
ESSENTIAL JOB SKILLS AND ABILITIES
At least 5 years of experience in a similar executive support role preferred, ideally in a nonprofit or legal environment.
Bachelor’s degree or equivalent combination of education and work experience preferred.
Ability to work a minimum of 2-3 days in-office as needed.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and virtual meeting platforms such as Zoom, as well as the ability to learn and navigate new technology. Experience using LegalServer, NetDocuments, and/or Paylocity is a plus.
Familiarity with office management systems and procedures, including project management tools preferred.
Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
A detail-oriented mindset with a strong commitment to accuracy and quality.
Experience working in fast-paced, high-stakes environments requiring sound judgment and adaptability.
Experience managing sensitive or confidential information with the utmost professionalism and discretion.
Demonstrated ability to anticipate the needs of executives and act proactively to address them.
Strong written and verbal communication skills, including the ability to draft professional correspondence and reports.
Strong interpersonal skills and proven ability to build and maintain strong working relationships with individuals at all organizational levels.
A high degree of emotional intelligence, including self-awareness, empathy, and effective communication.

JOB TYPE AND BENEFITS
Full-time/Non-exempt
Salary range: $60,000 - $95,000 ($30.77 - $48.72 per hour)
