Description
We are seeking a highly skilled and organized Executive Assistant to the Chief to provide advanced administrative analysis and support to the Chief of Innovation at UCLA Health and Executive Director of UCLA Biodesign. This pivotal role involves managing a variety of complex tasks and responsibilities, ensuring the smooth operation of the department, while facilitating collaboration across the UCLA campus infrastructure on key initiatives. The ideal candidate will be proactive, detail-oriented, and able to work independently while also being a collaborative team player. They will thrive in a fast-paced environment and demonstrate a commitment to supporting the mission and goals of the Department of Innovation and UCLA Biodesign. Key responsibilities include managing finance, human resources, IT, facilities, and student services to ensure seamless daily operations. Salary offers are determined based on various factors including, but not limited to, qualifications, experience, and equity. The full annual salary range for this position is $76,200 to $158,800 Annually Qualifications
Required : At least 3 years of experience in a similarly situated role Bachelor’s degree in related area and / or equivalent experience / training Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills. Ability to work independently, with only general supervision and as part of a team. Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, teleconferencing, website design, accounting and payroll, and contracts and grants regulations and guidelines. Ability to prioritize and organize projects through multiple phases. Ability to meet deadlines and follow through on multiple tasks simultaneously with careful attention to detail, accuracy, completeness, and thoroughness. Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management Demonstrated PC and writing skills to independently compose routine business correspondence, meeting minutes, and other documents with speed and accuracy using MS Word, Excel, PowerPoint, Adobe, etc. Detailed knowledge of the scheduling and maintenance of a complex executive calendar, arrangement of travel itineraries. Ability to use discretion and maintain strict confidentiality. Preferred : Working knowledge of medical and scientific terminology. Ability to use University-specific computer application programs (e.g. Concur, BruinBuy+, Qualtrics)
