Executive Assistant
to join our dynamic, fun, and high-performing team! We are seeking an Executive Assistant to provide high-level administrative support to our Executive Director (ED). The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This role requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. RESPONSIBILITIES Provide sophisticated calendar, time, and focus management for the ED. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements and best use of the ED’s capacity for the organization. Complete a broad variety of administrative tasks that facilitate the ED’s ability to effectively lead the organization, including assisting with special projects such as planning processes; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; proofreading, composing, and preparing correspondence; making travel arrangements; and completing expense and mileage reports. Serve as primary point of contact for internal and external constituencies on all matters pertaining to the ED, including those of a highly confidential or critical nature. Prioritize, determine, and share appropriate course of action, referral, or response, exercising judgement to reflect ED’s style and organization policy. Work closely with the ED to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate and plan for ED’s needs in advance of meetings, conferences, etc. Initiate and maintain open communications with the Senior Leadership Team (SLT), Administration, Human Resources, and the ED’s direct reports, providing information and documents as needed. Provide "gatekeeper" and "gateway" role, maintaining a bridge for smooth communication and support between the ED and CEO, SLT, and staff, built upon a foundation of credibility and trust. Provide event management support as requested. Provide hospitality to all guests and help to create a welcoming environment. Invest in building long-lasting relationships both externally and internally. Support other projects/duties as assigned for the overall benefit of the organization. Support board retreat planning, staffing board committees. Support the CEO with administrative needs. MUST HAVES To be successful in this job, you must possess the following qualities and experience: Minimum of 5 years of experience as an executive assistant, preferably supporting C-Level executives. Strong ability to execute work with a diversity, equity, and inclusion lens. Significant executive support experience, including supporting C-level executives. Expert proficiency with Microsoft Office 365 software; ability to design and edit presentations and materials. Exceptional organizational skills and impeccable attention to detail. High degree of professionalism in dealing with diverse groups of people, including Board members, senior leadership, staff, members, major donors and stakeholders. Make appropriate, informed decisions regarding priorities and available time. Ability to complete a high volume of tasks and projects with little or no guidance. Strong verbal and written communication skills. Able to maintain a high level of integrity and discretion in handling confidential information. Excellent judgment and problem solving is essential. Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
