The Executive Office of Energy and Environmental Affairs has two openings for Executive Assistant positions to support its senior leadership including: Undersecretary for Environmental Justice & Equity; Undersecretary for Decarbonization and Resilience; Undersecretary for Energy; and Special Counsel for Federal and Regional Energy Affairs.

Primary duties will include: Managing schedules and ensuring leadership has all resources needed to be well prepared for meetings, travel, and the business affairs required for successful execution of events, meetings, and other initiatives. Coordinating with other leadership teams to develop briefing materials and prepare for events and meetings. Ensuring briefing materials, speeches, presentations, and other materials are completed in a timely manner so that the senior leader is prepared for meetings and events. Screening phone calls and visitors; ensuring responsive and timely communication with internal and external stakeholders. Responding to inquiries and routing to appropriate staff person or organization. Working closely with Chief of Staff, leadership within the Executive Office and its agencies, and other executive assistants on the planning and execution of special projects and public events. Assisting in the day-to-day management of the assigned office, including scheduling meetings, ensuring that phone calls, emails, or letters are responded to in an appropriate timeframe and in a professional manner. Meeting and greeting guests and visitors. Serving as the first line of contact to constituents, advocacy groups, and legislators when they contact the senior leader, and ensuring that all receive access to appropriate staff person and/or public information in a timely manner. Managing schedule, external invitations, and materials required for internal and external meetings. Managing incoming and outgoing communication, which may include confidential information. Creating and maintaining correspondence. Collecting and coordinating written documents for signature. Drafting correspondence, ensuring that the narrative is professional, timely, and of the highest quality. Managing in and out of state travel arrangements as needed; and assisting with processing Travel Authorization Forms (TAFs) and tracking travel expenses. Assisting Chief of Staff and other leadership teams with project implementation and administrative tasks as needed. Attending and supporting meetings by preparing agendas and taking notes. Duties may vary based on assignment. Preferred Experience: Ability to work independently Excellent organizational skills Ability to prioritize time-sensitive assignments Strong interpersonal skills Competence with Microsoft Office, Zoom, etc. A cover letter and resume must be submitted as part of the application process and attached “as relevant” to the requisition. MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) four (4) years of full-time or, equivalent part-time, professional, professional internship, administrative, supervisory, or managerial experience in: business administration, business management, public administration, public management, clinical administration or clinical management or (B) any equivalent combination of the required experience and substitutions below. Substitutions: I. A certificate in a relevant or related field may be substituted for one (1) year of the required experience. II. An Associate's degree in a related field may be substituted for one (1) year of the required experience. III. A Bachelor's degree in a related field may be substituted for two (2) years of the required experience. IV. A Graduate degree in a related field may be substituted for three (3) years of the required experience. V. A Doctorate degree in a related field may be substituted for the required experience.
