OTC Industrial Technologies is looking for an Executive Assistant to join our team in Columbus, OH - Remote role (Must live near a major airport)
Position Overview:
We are seeking a highly experienced and meticulous Executive Assistant to join our team and provide top-tier support to the C-level suite. This pivotal role requires exceptional organizational, communication, and multitasking abilities. As the Executive Assistant, you will be at the heart of high-level operations, overseeing critical responsibilities such as strategic event coordination, travel management and executive representation.

What You'll Do:
Executive Support:
- Manage the CEO's complex calendar, scheduling, and correspondence.
- Prepare and edit communications, presentations, and reports.
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
Event Planning:
- Plan, coordinate and execute company events, executive off-sites, meetings, and conferences,
- Ensure smooth logistics for all events and correspondence with vendors, hotels, caterers, etc. to deliver seamless events.
- Be on-site for company-wide or town hall meetings, to handle coordination and communication with team members and vendors.
Travel Management:
- Arrange travel, including flight, accommodation, and transportation bookings.
- Prepare detailed itineraries and ensure the CEO is informed of all travel-related details.
- Proactively address and resolve any travel-related issues.
- Process and oversee expense reports in Concur, ensuring accuracy, compliance, and timely submission.
Confidentiality & Discretion
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Maintain security of sensitive executive documents, including financial, legal, and strategic materials.
Operational Efficiency
- Proactively identify and implement improvements in office and executive workflows.
- Assist in expense tracking, budget management, and preparation of financial reports as needed.
- Ensure the CEO is adequately prepared for meetings and engagements by providing briefing materials, talking points, and background research.
Miscellaneous Tasks
- Assist with ad-hoc tasks and special projects that align with the priorities of the CEO and OTC.
What You'll Need:
- Minimum of 5 years in a high-level executive assistant role, preferably supporting C-suite executives.
- Bachelor's degree in Business Administration, Communications, or a related field.
- Strong event planning and project management skills.
- Exceptional organizational skills and attention to detail.
- Excellent executive presence with proven strong verbal and written communication skills and experience
- High proficiency in Microsoft Office (Excel, Word, PowerPoint, Teams)
- Calendar management skills with the ability to proactively forecast calendars and anticipate needs/possible conflicts.
- Ability to thrive in a fast-paced, high-pressure environment.
- Ability and willingness to travel extensively as required (60-70%)
- Proactive problem-solving and decision-making.
- Self-starter and self-motivated to investigate, discover, and find solutions.
- Discretion, confidentiality, and integrity in handling sensitive matters.
