Q Home Sales, a top real estate team in Rockland County, NY, is looking for an Administrative Assistant to help drive our success to the next level. This role focuses on supporting our agents by managing the administrative side of the business, so they can dedicate their time to serving clients and selling homes. We’re seeking a candidate who’s proactive, resourceful, and ready to make a meaningful impact on our growing team.
Compensation:
- Salary Range: $45,000 - $55,000
- Paid Time Off (PTO)
- Stipend Benefits Available
- Performance-based bonuses (after a 60-day period)

Responsibilities:- Comprehensive Support: Provide personalized support to the team leader, including both professional and personal tasks, ensuring a smooth workflow.
- Database & Client Management: Manage and maintain CRM systems for tracking leads, clients, property listings, and transaction statuses.
- Communication Screening: Screen phone calls, emails, and other correspondence; direct them to the appropriate team member or handle them accordingly.
- Scheduling & Coordination: Coordinate appointments, property showings, meetings, and team calendars to ensure efficient use of time.
- Documentation & Reporting: Prepare real estate-related reports, presentations, and necessary documentation, such as contracts, property details, and closing paperwork.
- Client Support: Ensure seamless communication and a customer-first experience for clients throughout the real estate buying or selling process.
- Office Operations & Financial Management: Oversee day-to-day office tasks including expense tracking, budget creation, and invoicing.
- Lead & Marketing Assistance: Support lead generation efforts, including marketing campaigns, social media content, and client follow-ups.
- Closing Process Assistance: Guide clients through the real estate closing process with an emphasis on clear communication and client satisfaction.
- Team Growth & Management: Assist in recruiting, onboarding, training, and supervising new team members as the business expands.
- Task & Time Management: Stay organized with detailed to-do lists and checklists to manage multiple priorities effectively.
- Exceptional Organizational Skills: Proven ability to manage multiple priorities with a strong attention to detail and a focus on efficiency in a fast-paced real estate environment.
- Tech-Savvy: Comfortable with real estate software, and CRM systems, and quickly adaptable to new tools and applications.
- Multitasking & Time Management: Skilled in balancing multiple tasks and projects, ensuring deadlines are met without compromising quality.
- Independent & Solution-Oriented: Capable of working autonomously, using problem-solving skills to overcome challenges and enhance workflow.
- Strong Communication Skills: Excellent interpersonal, written, and verbal communication skills, with the ability to interact effectively with clients, team members, and vendors.
- Customer-Centric Approach: Dedicated to delivering exceptional client service, building lasting relationships, and ensuring a seamless experience throughout the real estate process.
- Education & Marketing Experience: A college degree is preferred. Experience in social media marketing or digital advertising is a plus to support lead generation and online presence.
- Real Estate License Willingness: Willing to obtain a real estate license (reimbursement provided), enhancing your ability to support the team and clients.
- Professionalism with Strong Personalities: Comfortable navigating and maintaining professionalism in dynamic, high-energy environments with diverse personalities.
