As an Executive Assistant at Aypa Power, you will be pivotal in directly supporting our executive team. This position requires a highly skilled and adaptable professional who can seamlessly manage various responsibilities, enabling the executive team to focus on strategic initiatives and critical decision-making.

Responsibilities:

  • Provide comprehensive and confidential administrative support to 2 executives, efficiently managing their schedule, emails, and communications;
  • Coordinate and prioritize complex calendars, ensuring organized appointments and commitments;
  • Prepare meeting materials, agendas, and briefings to ensure the executive team is well-informed and prepared for all engagements;
  • Act as the primary point of contact between the executives and internal/external stakeholders, demonstrating strong communication and interpersonal skills;
  • Maintain and organize critical information, documents, and records for easy access by the executive team;
  • Arrange complex travel itineraries, accommodations, and logistics for seamless travel experiences;
  • Assist in creating, editing, and organizing documents, reports, and presentations with a high standard of quality;
  • Handle expense reports, invoices, and financial records with precision and compliance;
  • Collaborate with the executive assistant on special projects and initiatives, conducting necessary research and analysis;
  • Exercise discretion and maintain the highest level of confidentiality in handling sensitive information;
  • Anticipate and proactively address challenges in the executive teams day-to-day activities;
  • Perform ad-hoc projects and duties as required or assigned.

Key Qualifications:

  • Bachelor's degree in business administration, management, communications, psychology, or a related field;
  • A minimum of 6 years of experience as an executive assistant, supporting C-suite executives;
  • Exceptional organizational and time management skills, with a strong attention to detail;
  • Outstanding written and verbal communication skills, including professional etiquette;
  • Proficiency in Microsoft Office Suite and other relevant software tools;
  • Ability to adapt to rapidly changing priorities and work effectively under pressure;
  • Proactive mindset, able to anticipate needs and take ownership of tasks and projects;
  • A collaborative and approachable team player, capable of working effectively with colleagues at all levels;
  • Strong problem-solving abilities and the capacity to find creative solutions.

Compensation and Location:

Salary:A base salary commensurate with experience;

Bonus:An annual bonus will be awarded based on individual performance and the overall success of the business;

Location: Hybrid (USA). Ability to work in the United States is a requirement. Must be based in Austin, TX. Relocation will not be provided for this role.
