We are a small, family-oriented business specializing in custom wood products, including moldings and window casings. Our team prides itself on craftsmanship and quality, and we are looking for an Administrative Assistant who is eager to join our close-knit environment. This is an immediate hire position, and we are looking for someone who is ready to jump in and help with a variety of administrative tasks, including phone support, accounts receivable (AR), accounts payable (AP), and payroll using QuickBooks.
Job Description:
The Administrative Assistant will play a key role in keeping the office running smoothly and supporting daily operations. You will be the primary point of contact for phone inquiries, assist with financial tasks such as AR and AP, and help with payroll processing using QuickBooks. A background or interest in woodworking, moldings, or window casings would be a strong asset, as it will help you connect with our industry and understand the nature of our work. This position requires someone who can work quickly, is detail-oriented, and thrives in a fast-paced, family-oriented setting.
Key Responsibilities:
- Answer and direct phone calls, providing excellent customer service and support.
- Assist with Accounts Receivable (AR) and Accounts Payable (AP) tasks, ensuring accurate invoicing, payment processing, and vendor communication.
- Process payroll on a regular basis using QuickBooks, ensuring timely and accurate employee payments.
- Handle general administrative tasks such as filing, data entry, and document management.
- Maintain and organize office records, ensuring all paperwork is up-to-date.
- Provide support for special projects and tasks as needed to ensure smooth daily operations.
- Foster a positive, family-oriented atmosphere by working closely with team members and helping as needed.
Qualifications:
- Experience with QuickBooks for payroll, AR, and AP is required.
- Strong phone etiquette and customer service skills.
- Detail-oriented with a proactive attitude and ability to multitask.
- Experience or interest in woodworking, moldings, or window casings is a plus.
- Strong organizational skills with the ability to handle multiple tasks simultaneously.
- Comfortable in a fast-paced, small office environment where team collaboration is essential.
- Previous administrative experience is preferred but not required.
