Job Description
QED Systems, LLC, is currently recruiting an Administrative Assistant (Administrator) to join our team at Aberdeen Proving Ground, MD to support our customer, Project Manager Intelligence Systems & Analytics (PM IS&A).
Duties:
- Provide routine administrative and clerical assistance, including receiving/screening telephone calls, visitors, and timekeeping.
- Respond to routine, non-technical requests for information.
- Schedule appointments and arrange conferences, meetings, and presentations, including location, schedule, and agenda while coordinating all other arrangements with staff/participants.
- Support and assist other secretarial personnel in office procedures, keeping updated on changes related to correspondence, messages, reports, forms, filing, mail, training, travel security, and personnel procedures.
- Provide support for all related aspects of conference planning.
- Compose routine/non-technical correspondence and prepare reports on administrative support/clerical functions of office and other appropriate subjects.
- Provide support to initiate travel arrangements, travel orders and prepare vouchers.
- Sort incoming mail and input documents that should be tracked throughout a government office for action, information, or signature as required.
- Prepare/submit phone work orders and ensure work orders are executed.
- Provide expertise in administration and training and shall alert, request, and schedule all training for various Government offices.
Required Skills & Experience:
- Detailed-oriented with excellent technical, verbal, and written communication skills.
- Personal computer literate with knowledge of email, word processing, and spreadsheet software.
- Direct experience with common office equipment, e.g., facsimile (fax) machines, copiers, projectors, and PC printers.
- Direct experience with contacting and scheduling meetings with high level government/client personnel (e.g., GO/SES).
- Direct experience with handling confidential information.
- Experience with maintaining logs, records, archives, and/or working files.
- Experience with handling correspondence, report preparation and coordination of meetings and events.
- Direct experience with coordinating travel arrangements.
- Must be able to work within Government-provided software packages emphasizing MS products (i.e., Word, PowerPoint, and Excel).
Required Clearance:
- ACTIVE CLEARANCE LEVEL REQUIRED: Secret
Qualifications:
- Bachelor's degree in Business, English or related field and six (6) years of experience in administrative/technical work in a management environment.
- Substitutions: Associate’s degree and eight (8) years of related experience, or ten (10) years of related experience.
Travel:
Travel is not expected for this position.
Work Environment:
This position will be co-located with the customer and other contractors in Government office spaces.

- Be independently mobile.
- Communicate effectively with co-workers and customers.
- Withstand prolonged periods of sitting at a desk and computer use.
- Climb stairs, ramps, ladders, and work stands.

Position Type/Expected Hours of Work:
This is a full‐time position, Monday through Friday. Flexibility around core hours.

Estimated Salary Range: $65,000 - $75,000, annually. This is not a guarantee of compensation or salary. This represents the typical range for fully qualified candidates for this position based on experience, geographic location, and other factors. The final offer amount may vary.
