Accounting Assistant

Job Responsibilities:

We are looking for a skilled Accounting Assistant to efficiently manage the processing of vendor invoices and statements, ensuring timely and accurate administration in alignment with departmental procedures. This role involves fostering strong relationships with vendors, maintaining a minimal backlog of AP tasks, and reconciling payable reports monthly to verify the timely recording and accurate payment of all amounts. Researching and resolving exception invoices. Additionally, the role will involve overseeing daily operations and supporting the strategic objectives of the company’s accounts receivable cycle through the design, implementation, maintenance, and management of all related business functions and procedures

Key Responsibilities:

  • Obtain invoice approvals and ensure proper general ledger coding
  • Manage accounts payable for multiple divisions and vendors
  • Review monthly vendor aging reports, verify accounts, and resolve discrepancies
  • Process and maintain electronic invoices in NetSuite
  • Maintain W-9 forms and assist with audits (bank, compliance, and financial)
  • Research, approve, and create new vendors with proper documentation
  • Process weekly check-runs for domestic inventory and payables
  • Review vendor statements and respond to inquiries
  • Process accounts receivable transactions and post customer payments (checks, wires, ACH)
  • Manage collections, monitor payment status, and maintain communication with responsible parties
  • Report and investigate delinquent accounts, coordinating collection efforts
  • Monitor AR email inbox and follow up on customer inquiries
  • Cross-train in customer invoicing, invoice generation, and accounts payable functions
  • Maintain regular and prompt attendance at worksite
  • Other activities as assigned

Required Skills and Experience:

  • Highschool diploma or equivalent
  • Strong organizational skills, attention to detail with a dedication to accuracy
  • Excellent verbal and written communication skills with the ability to communicate effectively with all levels of company employees, and vendors
  • Basic understanding of business ethics
  • Ability to work well in a loosely structured, entrepreneurial environment
  • Observant, accurate, and able to thrive in a fast-paced environment
  • Self-motivated and cable of handling multiple tasks
  • Ability to resolve issues in a timely manner
  • Ability to meet deadlines
  • Team player

Desired Qualities:

  • NetSuite ERP experience
