Insight Global is seeking to hire an Executive Assistant for a top client. This position is a great opportunity to get your foot in the door while supporting executives for a successful organization. You will be on-site to provide the necessary support.
Requirements:
- 3+ years of professional experience as an Executive Assistant, or similar position
- Experience supporting a CFO/CTPO of a fast-paced company, strongly preferred
- Experience with executive-level calendar management, including working across multiple time zones
- A high level of integrity, discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company are critical
- Extensive experience using office software and administrative tools such as Google Suite and Slack, working within a MacBook environment
- You're resourceful and take ownership of tasks end-to-end. You rarely get stuck; if you do, you figure out how to get unstuck. You give and take feedback well and prefer transparent and honest communication
- Strong attention to detail, ensuring that all communications, deliverables, and projects are accurate, professional, and audience-appropriate
- Exceptional problem-solving skills, and the ability to maintain composure and switch tasks efficiently in a rapidly changing environment, see the "big picture," and be proactive to prevent problems/conflict
Day to Day:
- Provide seamless calendar management for a customer’s CFO & CTPO. Optimize their schedules to create more time for strategic initiatives by efficiently managing conflicting priorities and minimizing time conflicts
- Proactively support a wide variety of professional administrative tasks including, but not limited to, travel arrangements, event planning and coordination, expense reports, preparing itineraries and agendas, and compiling documents and presentations for meetings
- Act as a liaison between the CFO & CTPO and internal/external stakeholders, handling correspondence, emails, and phone calls with professionalism and confidentiality
- Coordinate the logistics of executive meetings, conferences, and departmental events, including arranging travel, preparing agendas, arranging catering, etc.
- Monitor deadlines and follow up on action items, ensuring timely completion of tasks and facilitating effective decision-making
- Plan, execute, and oversee Finance & Tech team group events and team-building activities
