Position Summary:

Our client is seeking a detail-oriented, highly organized, and proactive Estate Planning Legal Secretary/Paralegal to join their team. This individual will support attorneys with a variety of tasks related to estate planning and probate administration, including document preparation, client communications, and administrative duties. The ideal candidate will have strong knowledge of estate planning, trust administration, and probate processes, with a keen understanding of confidentiality and accuracy.


Essential Functions:

  • Draft, review and prepare estate planning documents; simple and complex probate pleadings; correspondence to and from clients; correspondence to and from related parties; and prepare documents for e-filing with the Courts.
  • Bill time in Juris.
  • Maintain current docket of due dates in probate hearings.
  • Client contact and interaction via telephone, written correspondence and in person with limited supervision from attorney or in attorney’s absence.
  • Communication with the Courts via telephone and written correspondence.
  • Perform proper execution of wills and collateral documents in the attorney’s presence.
  • Attend meetings with clients as requested by the attorney.
  • Maintain client files.
  • Maintain the Vault List and fire files with original documents.
  • Conduct extensive follow-up on various matters to ensure case or project maintenance and progress.
  • Research legal matters as they arise.
  • Maintain the group’s "EP Task (Current)" list with a focus on prioritization and critical dates.
  • Be familiar with court procedures and experience.


Education and Experience

  • ABA-approved paralegal studies; minimum of two years related experience and/or training; or equivalent combination of education and experience. Prior law firm experience is strongly preferred.


Skills Required:

  • Strong attention to detail, with the ability to manage multiple tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and WordPerfect.
  • Knowledge of legal terminology and procedures related to estate planning and probate.
  • Ability to handle sensitive and confidential information with professionalism.
  • High degree of professionalism and integrity.
  • Empathetic, client-cantered approach with strong interpersonal skills.
