Office Manager / Executive Assistant

LHH is currently seeking a highly organized and proactive Office Manager / Executive Assistant to support our client in San Francisco. This dual-role position combines office management responsibilities with executive-level support to ensure smooth day-to-day operations and executive efficiency. The ideal candidate will be an excellent communicator, resourceful, and capable of managing multiple tasks in a dynamic work environment.

Compensation: $30 - $40 /hr

Work Type: Fully Onsite

Key Responsibilities:

Office Management:

  • Office Operations: Oversee the seamless functioning of the office on a daily basis, ensuring all administrative processes run smoothly. Manage office supplies, equipment, kitchen essentials, and overall office facilities to maintain a productive and comfortable workspace.
  • Vendor Coordination: Act as the primary point of contact for vendors and service providers, ensuring timely and accurate delivery of goods and services. Negotiate contracts, manage vendor relations, and handle ongoing service agreements.
  • Health & Safety Compliance: Ensure the office adheres to all health and safety standards. Develop, implement, and maintain office safety procedures and protocols to create a secure work environment for all employees.
  • Event Coordination: Plan and execute a variety of company events, including social gatherings, internal meetings, volunteer activities, and client engagements. Manage event logistics, catering, and other related services to ensure successful events.
  • Administrative Support: Provide general office support, including managing documents, organizing filing systems, data entry, and ensuring all office functions are efficiently handled. Offer administrative assistance to the EVP team as needed.

Executive Assistance:

  • Calendar & Scheduling: Efficiently manage the CEO’s calendar by scheduling appointments, meetings, and travel. Prioritize the CEO’s time and ensure that their schedule is optimized for maximum productivity.
  • Meeting Support: Prepare agendas, meeting materials, and presentations for regular leadership meetings and annual Board executive sessions. Assist the Sports & Social Committee in organizing and executing planned events.
  • Travel Coordination: Arrange both domestic and international travel for the CEO, including booking flights, accommodations, and crafting itineraries. Ensure that all travel arrangements are efficient, well-organized, and cost-effective. Process travel expense reports on behalf of the CEO.
  • Confidential Information Management: Handle sensitive and confidential information with the utmost discretion and professionalism. Safeguard the privacy of executive communications and documents.
  • Stakeholder Relations: Foster strong relationships with key stakeholders, including board members, clients, and partners. Serve as a liaison between the CEO and both internal and external contacts to ensure effective communication and collaboration.

Qualifications:

  • Bachelor's Degree
  • Minimum of 3 years of experience supporting C-suites and corporate offices
  • Proven experience in office management or executive assistance roles.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication and interpersonal abilities.
  • Ability to maintain discretion and handle confidential information responsibly.
  • Proficiency in Microsoft Office Suite and other office software.
  • Strong attention to detail and problem-solving skills.
  • A proactive, resourceful attitude with the ability to take initiative and manage priorities.
