Job Title: Legal Assistant – Litigation Team Support Location: Hybrid (100% in-office for 90 days, transitioning to 3 days in-office/2 days remote) We are seeking a proactive, detail-oriented Legal Assistant to join our team and provide comprehensive support to our Managing Partner, two Partners, and two Associates. This role is ideal for a skilled multitasker with exceptional communication abilities who thrives in a fast-paced environment. You will assist in managing complex commercial litigation and insurance defense cases, ensuring efficiency and excellence in every aspect of support. Key Responsibilities Maintain an active role in team and firm-related projects, including lawyer committee work, community service, and public relations activities. Manage attorneys' inboxes, calendars, and contacts. Review, route, and prioritize internal/external mail and electronic documents, including client matter files and folders. Arrange conference calls and coordinate videoconferencing, scanning, and other communication tools. Monitor and update attorneys’ time entries accurately. Comply with the firm’s Client File Maintenance policy for both electronic and hardcopy files. Organize and label client matter files appropriately and ensure timely closing of files. Collaborate with attorneys to maintain iManage electronic filing compliance, including managing inboxes, moving emails, and filing documents appropriately. Draft, proofread, and edit letters, legal documents, and memoranda. Apply document styles and cleanup in accordance with firm standards. E-file documents with State and Federal courts. Track and manage court rules, deadlines, and filing requirements. Assist with ad hoc projects and provide creative solutions to support team efficiency. Qualifications High school diploma or equivalent required; college degree preferred. Minimum of three years of legal secretarial experience with a law firm with State and Federal court rules, e-filing systems, and deadlines. Proficiency in Microsoft Office, PDF tools, and legal document management systems such as iManage.
