Role Summary: This is a full-time on-site role for an Office Administrator at Kimbrell's Kustom Machine Shop, Inc. located in Garland, Texas. The Office Administrator manages and oversees the daily operations of the office, ensuring that it runs smoothly and efficiently. This position involves handling administrative tasks, coordinating office activities, and providing support to staff and management. Key Responsibilities: Administrative Support: Perform general office duties such as managing correspondence, scheduling meetings, and handling phone calls. Prepare and maintain documents, reports, and presentations. Office Management: Oversee office supplies inventory, place orders, and ensure that office equipment is in good working condition. Manage office space and ensure a clean and organized work environment. Scheduling and Coordination: Coordinate and schedule meetings, appointments, and events. Communication: Act as a point of contact for internal and external communications. Handle inquiries and provide information to clients, vendors, and employees. Record Keeping: Maintain accurate and confidential records, including employee files, financial documents, and operational reports. Support Staff: Provide administrative support to management and other staff members. Financial Administration: Assist with basic financial tasks such as processing invoices and processing credit cards. Compliance: Ensure that office operations comply with company policies and legal regulations. Assist in maintaining health and safety standards in the office. Qualifications: Education: High school diploma or equivalent; additional qualifications in office administration or related fields are a plus. Experience: Previous experience in an administrative role is preferred. Proficiency in office software (e.g., Microsoft Office Suite) and familiarity with office equipment. Some knowledge of Quick Books preferred. Skills: Strong organizational and multitasking abilities. Excellent communication and interpersonal skills. Attention to detail and problem-solving capabilities. Ability to maintain confidentiality and handle sensitive information. Proficiency in managing office software and systems. Personal Attributes: Professional demeanor and positive attitude. Ability to work independently as well as part of a team. Adaptability and willingness to take on new tasks. Work hours are from 7:30 am o 4:00 pm Monday through Friday. Jeans and a nice shirt are acceptable work attire. Benefits: Paid holidays, vacation time, health insurance and 401K
