Summary:
- The Medical Staff Office Specialist (MSO)(Philadelphia) is responsible for ensuring the accurate and timely processing/approval of provider credentialing files based on The Joint Commission, PA Department of Health, and CMS. The Medical Staff Office Specialist serves as a liaison between hospital administration/department administration and the Office of Medical Affairs.
- Regulatory Compliance - Applies current knowledge and understanding of Medical Staff Bylaws, Rules and Regulations, Medical Board Policies, CMS, DOH, and JCAHO standards and other relevant materials in order ensure appropriate credentialing/recredentialing of providers in accordance with standards set forth by these organizations.
- Data management - Maintains proficiency in utilization of credentialing database and enters MSO related data into credentialing database in a timely and accurate manner. Assures that all required data elements are entered and documents are scanned in accordance with policy and procedures.
- Monitors and follows up with applicants to ensure timely completion of the credentialing process as well as follows up with reappointed providers to ensure timely completion of all reappointment applications.
- Responsible for quality control and the accuracy of initial privileges being requested by initial applicants based on review of the provider's training and background.
- Responsible for quality control and the accuracy of any changes being made to existing privileges and following the required steps for approval as outlined by The Joint Commission regarding this process
- Evaluates applications/reappointment applications after department signature/approval to ensure accuracy and completion of the application review prior to being presented to the Credentials Committee for review and recommendation for approval.
- Establishes Credentials Committee meeting quorums based on committee members' availability
- Generates, prepares, and socializes the Credentials Committee meeting agenda and materials which includes initial applications, reappointment applications, and other miscellaneous agenda items.
- Coordinates and trains new Credentials Committee members, department Chief/Chairs, and department faculty contacts on a variety of OMA/MSO processes and systems.
- Tracks a variety of important deadlines and coordinates escalation to inform various leaders of important deadlines/potential impacts in a timely fashion in a number of areas which include: Withdraw policy, Late Career practitioner screening scheduling/results, terminations/resignations, application fees due, expiring credentials, and timely review of signatures for initial and reappointment applications due.
- Actively participates in the planning, preparation, distribution of agenda and materials, and running of the monthly facility Medical Executive Committee/ Medical Board meetings
- Actively participates in the coordination of various Medical Staff Office tasks as needed per hospital bylaws and policies such as Bach Fund Committee process, Nominations Committee process, Bylaws Revision approval process, annual awards, etc.
- Performs duties in accordance with Penn Medicine and entity values, policies, and procedures.
- Other duties as assigned to support the unit, department, entity, and health system organization.
- NAMSS CPCS or CPMSM Certification at time of hire or within 12 months of employment. (Required)
- H.S. Diploma/GED. (Required)
- 6+ years of credentialing experience in a managed care, hospital, or related setting. Extensive knowledge of credentialing processes and regulations. (Required)
- Bachelor's degree and 4+ years of credentialing experience in a managed care, hospital, or related setting. Extensive knowledge of credentialing processes and regulations. (Required)
- Detail oriented, analytical and able to assimilate large amounts of information, draw conclusions, identify and resolve discrepancies
- Complete understanding of all credentialing regulatory standards and business rules
- Communicate effectively - oral/written with physicians and external contacts
- Ability to work independently and exercise good judgment when escalating issues
- Must be able to meet deadlines and priotize competing priorities
- Must be able to work effectively and collaboratively as a member of a larger team
- Critical thinking and problem solving skills
- Advanced proficiency in computer software including, but not limited to, database management and Microsoft applications
- Proficiency in utilization of credentialing database
