The Opportunity
Reporting directly to the CEO, the successful candidate will provide direct support to the CEO and the Executive Leadership Team by managing calendars, arranging travel, communicating effectively with key stakeholders, overseeing facility management, and collaborating with team members on essential administrative tasks. You bring strong organizational skills, a keen eye for detail, and exceptional prioritization and time-management capabilities. As a culture champion, you proactively look for ways to enhance team connections. Proficiency in Office 365 and Slack is essential. The ideal candidate is proactive, detail-oriented, and maintains discretion when handling confidential information. The successful candidate must be creative and enjoy working within a fast-paced, entrepreneurial environment. Further, the ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Discretion and the ability to handle confidential matters with aplomb are critical to success in this role. Experience in a startup environment is a plus.
Qualifications
Bachelor’s degree required
Over 5 years of relevant experience supporting C-level executives in a fast-paced setting
Ability to communicate effectively, diplomatically, and in a responsive manner
Proactive and driven, with the ability to anticipate the needs of the Executive, the team, and the office facility
Proficient in Outlook (email, calendar, drive, etc.) and skilled in Slack and Zoom
Possesses a positive, go-getter attitude, thriving in a dynamic startup environment
Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the global operations of the company
Excellent attention to detail and strong organizational skills
Outstanding written and verbal communication abilities
Exercises sound judgment with a keen understanding of business urgency and priorities
Comfortable working in a growing company environment
Top Secret Clearance (T/S) preferred
Within 1 month, you’ll:
Learn to work hand-in-hand with the Executive
Gain an understanding about how your role fits into LeoLabs broader organization
Build trust and relationships with our entire organization
Proactively manage Executive calendar and schedules across different time zones
Plan and prepare information for meetings, presentations, interviews, etc. and ensure action items are done on time and complete
Prepare and file leadership expense reports
Within 3 months, you’ll:
Constant and effective communication with the Executive
Be actively involved with other groups to help as needed i.e. HR, Legal, AP
Help plan and lead culture building activities such as offsites and employee engagements
Assist with other People Ops and Talent programming from supporting onboarding to scheduling interviews
Identify processes that can be optimized and improve them
Help manage the Executives' inbox and respond to emails
Within 6 months, you’ll:
Manage Executives daily responsibilities and schedule
Help the team in administrative tasks to accelerate team milestones and growth
Help scope and tackle special projects assigned by our Executives
Within 12 months, you’ll:
Grow into a business partner to the Executive
Have created processes and standards for office management
