Position Summary: Virginia Commonwealth University’s Office of Admissions is actively seeking an Assistant Director of Admissions Events. The Assistant Director of Admissions Events plans, coordinates, implements, and participates in on- and off-campus recruitment events including virtual events. These events include, but are not limited to, open houses, preview days, professional fairs, receptions, luncheons, yield, and counselor events. This position works as a member of a team to implement recruitment and marketing strategies to attract and enroll new freshmen and transfer students and to assist the Office of Admissions in meeting university enrollment goals. This position also evaluates applicant and enrollment data pertaining to events in order to provide recommendations on future event planning to management. This position travels to recruit new students and evaluates data and applicant credentials for admission and counsels prospective students on their admissibility as needed.

Core Responsibilities: Admissions Events Management (55%): Plans, coordinates, implements, and participates in on and off campus admissions events. While most events are in-person, events may also be held virtually. These events include, but are not limited to, open houses, preview days, receptions, luncheons, yield, and counselor events. Oversees all logistical planning of on- and off-campus events including, but not limited to, managing and initiating contractual agreements with vendors; managing the renewal of related vendor contracts and agreements; assessing the performance of vendors; locating and securing event space; and creating arrangements with internal and external vendors such as caterers, building managers, security, and parking and transportation. Collaborates with internal and external stakeholders to engage their participation in events. Builds strong, ongoing relationships with vendors, internal departments, and stakeholders. Serves as a liaison to campus partners to ensure they understand the needs of the event and their role. Assures that information is delivered to all participants and invitees in a timely manner. Works closely with the admissions communications team to coordinate all publication and communications needs including invitations, website content, electronic, and social media messaging. Recruits prospective students by attending college day/night recruitment and yield programs. Travels both in- and out-of-state for the university including weekends. Admissions Event Opportunity Planning (20%): Manages the process and planning for admissions events including analyzing admissions data to determine target recruitment territories for the best locales to host off-campus events. Works closely with the Associate Director of Undergraduate of Admissions to determine best options and opportunities to host admissions recruitment and yield events based on the university’s recruitment goals and admissions and enrollment data. Marketing Communications (15%): Communicates effectively with prospective students, parents, high school guidance and college counselors, and other high school and community college personnel via letters, emails, and by phone. Develops relationships with key personnel in assigned geo-markets. Responds to email inquiries sent to the Office of Admissions generic email account. Participates in chat sessions and other electronic marketing communications as needed. Assists in the development and implementation of recruitment activities centered around electronic communications and mobile and social networks. Undergraduate Admissions (5%): Counsels applicants, prospective students, and parents concerning admissions requirements, procedures, and programs offered by the university and conducts group information sessions. Reviews, evaluates, and processes applications for admission following department and University processes including utilizing the CRM and other student information systems. Schedules private events with high schools and community colleges in a timely fashion providing current information about VCU. Follow-up visits with appropriate correspondence/contact with counselors and students. Evaluates program effectiveness and provides recommendations for future programming. Works with university faculty and staff to assist with university and departmental events. Assists in developing and implementing strategies and programming, particularly for bringing more students to visit campus throughout the year, and for increasing yield in general. Other duties (5%): Performs other duties as assigned. ** This position will close on 1/19/25 at 7PM.

Qualifications

Minimum Hiring Standards:

Bachelor’s degree in event planning, business, higher education, or related field or equivalent experience/training. Experience working in a higher education environment Experience with event planning. Excellent oral and written communication skills with the ability to provide clear direction and establish efficient priorities. Excellent organizational skills and ability to multitask to meet competing deadlines. Ability to work collaboratively to achieve shared goals. Ability to interpret and implement policies and procedures. Ability to use sound judgment and discretion for a positive impact. Ability to work independently with minimal supervision. Ability to assist and work with diverse customers over the telephone and in person. Ability to use office automation, word processing, presentation, and spreadsheet software. Strong attention to detail. Valid driver’s license and current car insurance and ability to travel locally and nationally. Ability to work evenings, weekends, and over the winter break as required. Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU. Preferred Qualifications:

Master’s degree in higher education, student services, or related field. Experience with event planning in a higher education setting, extra consideration given for admissions event planning experience More than 2 years of experience in college admissions or university recruitment. Knowledge of VCU programs and admission policies. Experience with Slate Technolutions, Banner Student Information System, as well as ImageNow imaging software. Other Position Details:

Evening and weekend work as well as hours over the winter break are required on- and off- campus. This position is eligible for a hybrid/flexible work arrangement up to 40% remote work
