The receptionist will be the first point of contact for our visitors, managing incoming calls, scheduling appointments, and maintaining a welcoming office environment. The receptionist will use excellent communication skills, strong organizational abilities, and proficiency in basic office software. This position combines administrative tasks with client service and operational support.
Key Responsibilities and Job Duties:
Front Desk Management
Greeting clients and visitors in a professional manner Answering, screening, and directing phone calls Scheduling appointments and maintaining the attorneys calendar
Communication
Managing correspondence (emails, letters, and packages) Relaying messages accurately to attorney, paralegal, and other staff
Clerical Support
Opening and closing the office Managing the reception area to ensure its tidy and welcoming Maintaining office supplies inventory and making note of items as needed Opening and closing case files
Client Relations
Collecting client information and directing inquiries appropriately Assisting with intake forms and initial consultations (conflict checks)
Case Preparation
Preparing and organizing some legal documents Filing legal documents with court and tracking deadlines
Administrative Support
Maintaining and updating case files
Client Interaction
Serving as a liaison between clients, attorney, paralegal, and other parties Handling sensitive client information with confidentiality and professionalism
Scheduling and Coordination
Scheduling hearings for clients and attorney
Billing and Finance
Tracking client ledgers Assisting with payment processing and collections
