Position Title Specialist, CRM Data & Slate Administration

Position Summary
The Specialist, CRM Data and Slate Administration is a campus-based position that is responsible for the management of Stevenson University Online's CRM system (Technolutions Slate) to support recruitment, admissions, and student success in the online academic programs. Duties include configuring, testing, troubleshooting, and maintaining all CRM functions to improve and enhance capabilities and efficiencies in the application, admissions, and enrollment processes, communication workflows, data reporting, and systems integrations. Other responsibilities include planning, preparing, and producing a variety of regular and ad hoc queries, reports, and publications to meet external and internal reporting and compliance needs. The Specialist, CRM Data and Slate Administration works as a member of the team to support the overall operations of SUO, and supports initiatives as assigned.
Education/Experience
Bachelor's degree plus at least three years of experience using ERP systems (e.g. Ellucian Colleague, Banner, PeopleSoft, etc.) and CRM systems (e.g. SLATE, Recruit, TargetX), and proficiency in Microsoft Office Excel, or equivalent combination of education and experience. Background in mathematics, statistical analysis, and/or research and proficiency with technology such as Ellucian products and Technolutions Slate preferred.
Knowledge/Skills/Ability Experience in statistical analysis and/or research. Proficiency in using an enterprise resource planning (ERP) system (Ellucian Colleague preferred) and customer relationship management (CRM) system (Slate preferred). Advanced ability to write queries and to retrieve, analyze, and interpret data from Ellucian and Entrinsik Informer or other data management systems. Experience in data collection/management, analysis and reporting. Proficient in Microsoft Office Excel with ability to utilize tools such as Pivot Tables and VLOOKUP. High degree of independent, critical thinking, accuracy, and attention to detail. Excellent planning, organizational, and time-management skills. Ability to manage multiple tasks under pressure and to adapt to rapidly changing priorities. Excellent analytical and problem-solving skills. Ability to maintain confidentiality of records and information. Excellent communication skills, both oral and written. Ability to work independently and creatively with minimal supervision and as part of a team. Light work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force constantly to move objects. Position requires sitting for long periods of time in front of a computer, and may require additional hours during peak times. Keyboarding, talking, hearing, repetitive motions. Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; expansive reading. Not substantially exposed to adverse environmental conditions.
Essential Functions
Perform and ensure the accuracy of weekly funnel reporting for the online academic programs. Plan, prepare, and produce a variety of regular and ad hoc queries, reports, and publications to meet external regulations and internal needs as requested. Coordinate Stevenson University's annual renewal application for participation in the National Council for State Authorization Reciprocity Agreements (NC-SARA). Create reports and oversee the generation of reports from the CRM and other enterprise systems. Manage SUO's CRM system with the following responsibilities: o Lead efforts to build functionality and expand reporting capabilities of SUO's Technolutions Slate instance.
o Manage the ongoing implementation, configuration, testing, and maintenance of Slate to provide comprehensive, long-term solutions by improving capabilities and efficiency.
o Lead development and maintenance of key Slate functionality, including but not limited to: applications, queries, reports, process automation/rules, portals, form development, database structure, population management, data integrity, and systems integrations.
o Oversee the creation, update, and maintenance of the SUO application, the Readmissions/Reinstatement application, and other external forms.
o Build and maintain queries and reports to support system operations, enrollment counseling, student success functions, and business development tasks and initiatives.
o Develop and maintain all functionality needed to create, store, and report on additional dataset records, including but not limited to: other colleges/universities contacts, businesses/partner organizations, partnership contacts, non-credit inquiries, alumni and faculty testimonials, bachelor's to master's inquiries, and current students.
o Monitor the automatic data import and export feeds to our SIS (Datatel) and collaborate with the Office of Information Technology to troubleshoot and maintain systems integrations.
o Coordinate the annual Cycle Prep process to audit current functionality and archive old application data.
o Collaborate with leadership and other offices across the University to manage various processes, including traditional recruitment and admission practices, transfer credit evaluations, origin source tracking for marketing purposes, and integration of the CRM with other university systems.
o Provide trainings for new and current Slate users and document all Slate processes.
o Troubleshoot Slate related issues as they arise and serve as the primary point of contact for all SUO Slate questions.
o Monitor data integrity by developing and performing regular data audits and clean-up projects.
Participate in professional organizations, conferences, and workshops to keep informed of current ideas, research, and practices related to the responsibilities of the position. Serve as a member of the SUO Leadership Team. Provide data and analysis in support of strategic planning for SUO, including evaluative information on the effectiveness of marketing, recruitment, enrollment, and retention strategies. Assist in SUO communication efforts by extracting and compiling email, call, and/or text lists for applicants, current students, alumni, and faculty as requested. Assist in the development and maintenance of user guides and documentation, including SOPs for SUO functions.
