About the Role

GHIC is seeking a highly motivated, capable Executive Administrator (EA) to support our dynamic venture investment firm based in New York City. This role requires high professionalism, organizational skills, and adaptability to manage multiple tasks in a dynamic environment. Core job responsibilities include executive administration for the CEO, including calendar management and travel coordination, administrative and operational support for GHIC including event planning, and logistics, and serving as the primary point of contact for all office requests. The ideal candidate is thoughtful, detail-oriented, and can deftly navigate time, information, and people to deliver administrative results consistently. In addition, the role requires a direct interface with external stakeholders, requiring strong communication and interpersonal skills. This position is based in New York City and will report to the CEO and Head of Operations.

Key responsibilities:

EXECUTIVE ADMINISTRATION FOR CEO (50-70%)

  • Providing administrative and programmatic support for the CEO including:

  • Overseeing day-to-day administrative responsibilities for the CEO, including scheduling and managing interactions and preparing communications on behalf of the CEO

  • Managing the calendar of the CEO, making recommendations on how to streamline workflows and optimize schedules

  • Capturing minutes and assisting with follow-up actions as needed

    • Supporting scheduling for internal and external meetings

    • Assisting with travel arrangements, itineraries, and expensing

GHIC ADMINISTRATION (10-20%)

  • Support vendor account management and communication
  • Manage IT requests in collaboration with IT vendor
  • Organize and maintain the firm SharePoint digital filing system
  • Support onboarding of employees and consultants
  • Support team in planning and execution of firm-wide events
  • Support the coordination of Annual Investors meetings

OFFICE-RELATED (5-10%)

  • Serve as the primary point of contact for handling internal and external information requests
  • Manage office-related activities, including welcoming guests, orders and stocking, building and conference room management

Qualifications

This role requires an organized, solutions-oriented individual who enjoys working in a mission-driven entrepreneurial environment. The ideal candidate will have proven administrative experience, sound judgment, and the ability to execute with high discretion and tact.

  • Bachelor's Degree or equivalent
  • 2+ years' experience as an executive assistant or other relevant administrative support experience
  • Outstanding written and verbal communication skills
  • Self-directed, detail-oriented with a proactive approach to problem-solving
  • Strong interpersonal skills and demonstrated ability to work collaboratively
  • In-depth understanding of MS Office suites, including SharePoint and Outlook; additional fluency with digital tools and software are highly desirable
  • Passion for global health and driven to grow as part of a small team
