The UW Tacoma Advancement team has an exciting opening for an Administrative Assistant 2. This is a permanent, part-time, union-contracted position. The Administrative Assistant supports operations in the Office of Advancement at UW Tacoma. This role works directly with the Administrative Specialist and is part of the Administrative Team. The ideal candidate should be a detail-oriented, organized, self-starter who can work independently and as part of a team. What You Will Do: Provide welcoming customer service and front desk assistance to those who email, call or enter the office; answer questions and provide information, as needed. Support with scheduling meetings, maintaining multiple calendars and coordinating venues. Support meetings chaired or staffed by the Vice Chancellor of Advancement by taking meeting minutes. Assist with onboarding new Advancement staff. Maintain and monitor current data on required staff trainings. Process procurement and other reimbursements for Advancement leadership using multiple methods supported by the UW. Process daily and monthly fiscal transactions, including assisting staff with ProCard expenditures in Workday. Coordinate travel arrangements and itineraries for staff. Process gifts and pledge payments to the University, ensuring accuracy and correcting errors; initiate tracking to ensure appropriate handling. Support with events, as needed. Perform other duties as assigned. MINIMUM REQUIREMENTS High School/ GED AND two years of office or administrative support experience OR an equivalent combination of education and/or experience. Ability to work and communicate effectively. Demonstrated creativity, organizational ability and attention to detail. Proficiency in Microsoft Office for generating correspondence, special reports and spreadsheets.
