Position Title: Administrative Assistant (Confidential Position)- Bilingual Spanish

Salary Range (Bilingual): $2,451.49- $3,564.66 Bi-weekly; $ 63,738.74- $92,681.16 Annual

Reports To: Administrative Services Manager (Support Services)

The Regional Center of the East Bay (RCEB) is one of 21 Regional Centers that are community-based, private non-profit corporations under contract with the California Department of Developmental Services. RCEB provides intake, assessment, diagnosis, and coordinates community-based services for over 25,000 children and adults with developmental disabilities in Alameda and Contra Costa counties.

RCEB envisions a future where persons with developmental disabilities are truly a part of the community. Persons with developmental disabilities receive supports and services they need to succeed. The supports and services change as the need changes.

In our dream, children with developmental disabilities live with families in typical communities. Many choose to attend their neighborhood schools and play with neighborhood friends. Adults with developmental disabilities live in the residence of their choice - with family members, with friends, or with their spouse / significant other. They engage in activities of their choice - work, volunteering, education, training, or leisure. They have meaningful relationships with friends and coworkers and are seen as valuable, contributing members of their communities.

Duties:

Under general direction, is responsible for performing complex, confidential technical and non-technical administrative functions. Duties include, but are not limited to:
  1. Provides full range of administrative secretarial support to Administrative Services Manager and Support Management
  2. Processes Case Assignment Logs and creates, coordinates and distributes various mailings
  3. Distribution of reports to be mailed
  4. Acts as liaison with building management regarding resolution of repairs, maintenance, janitorial services, etc. and provides timely follow up.
  5. Trouble shoots agency equipment (copies, fax machines, audiovisual, mail machines) to ensure adequate cost effective equipment is in place. Monitors equipment to ensure proper functioning
  6. Active member of the RCEB Safety Committee
  7. Assists with coordinating mass mailings
  8. Prepares orders supplies for review and approval
  9. Conducts facility safety inspections using check list
  10. Electronic filing
  11. Serves as back up for other Administrative Assistant and Administrative Secretary positions as required.
  12. Performs other related duties as assigned.
Minimum Qualifications:
  1. High School graduate or GED equivalent
  2. Three years of increasingly responsible administrative experience
  3. Excellent planning, organizational and follow up skills.
  4. Ability to manage multiple priorities.
  5. Excellent oral and written communications skills. Ability to positively communicate with staff at all organizational levels.
  6. Demonstrated ability to work with numbers and type 40 wpm.
  7. PC Skills at an advanced level in Word and intermediate in Excel.
  8. Demonstrate cultural awareness and sensitivity and an ability to work effectively with culturally diverse populations
  9. Ability to safeguard consumer privileged and confidential information a must.
  10. Fluent in both English and Spanish (read, write, and speak)
