Genesys Works is a nonprofit organization that trains and employs high school seniors to perform professional services for major corporations. Our mission is to provide pathways to career success for high school students in underserved communities through skills training, meaningful work experiences, and impactful relationships.
Purpose of Position
The Operations and Events Coordinator will have cross-functional responsibilities in operations and systems management, external events, and volunteer events. As Genesys Works NYC continues to grow the number of students served, the Operations and Events Coordinator will play a valuable role in building effective systems, streamlining projects, running events, and supporting all areas of the organization.
The Operations and Events Coordinator will be expected to go into the office in lower Manhattan 1-2 times a week to go through mail, organize the office, and complete other tasks as needed. The rest of the team goes in at least once a month for all-team meetings and other responsibilities as needed.
Key Responsibilities
The following percentages are assumptions within a year. Depending on the season, time spent in each category will fluctuate. For example, more time will be spent on our Breaking Through event in April-June because the event is in June.
Operations (55%) Support daily operations, including administrative support, monitoring general inbox, database maintenance, and office management tasks as assigned. Regularly perform data audits in Salesforce to ensure integrity of data and that applicable dashboards represent accurate and up to date data. Support Salesforce tracking cross-functionally including creating and updating records and setting up mass uploads in Salesforce. Support teams and organization in problem-solving operational needs, often in collaboration with Genesys Works National. Support onboarding of new interns. Responsibilities include collecting and updating data from corporate partners, organizing drug tests and background checks, reviewing corporate partner contracts, and ensuring Salesforce records are up to date. Support external communications and engagement, including updating materials in Canva, customizing thank you letters, and conducting prospect research for team leads. Responsible for accurate Business Unit data, billing rates, invoice requirements (purchase orders, etc.), and all other contractual data management. Generate and/or create reports with key data and metric information in Salesforce and in Microsoft Office. Support with scheduling as requested and staff hiring processes. Proactively and in partnership with Leadership Team, create Standard Operating Procedures (SOPs), resources, and toolkits for internal use such as for data integrity, communications, and ways of work. Events (30%)
Genesys Works NYC currently has two signature events: Cocktails & Conversation and Breaking Through (led by Director of Development). Smaller events (led by various staff members) include Summer Training visits, program site visits, and staff retreats.
Coordinate and execute event logistics, including securing space, ordering food and beverages, designing and ordering swag, organizing and managing volunteers, and printing. Build email communications, such as invitations, in Salesforce Account Engagement. Manage RSVPs using Salesforce and, at times, Form Assembly. Support in writing copy and designing event materials in Canva. Support Director of Development in planning events and ideating new engagement opportunities for supporters. Volunteers (10%)
Liaise across the organization to recruit, manage, and track volunteers. Support volunteer event planning. Lead project management of volunteer recruitment, training, resources, and communications. Other (5%)
Provide programmatic support for major program initiatives, including recruitment, summer training, college access, and college success programs. Responsibilities may include setting up IDs, printing program materials, and ordering food. Support Executive Director with expense reports. Provide support with new projects as needed. Other duties as assigned. Qualifications

Ability to work well under pressure, with a strong sense of accountability for both organizational success and personal development Ability to problem-solve Strong presence and leadership in group setting with young people Ability to relate to and work with diverse populations in diverse settings (i.e. students, corporate personnel, and school administrators) Ability to work a flexible schedule when needed, including some evenings Must pass a criminal background check Physical Requirements
Including, but not limited to standing and sitting for long periods of time; speaking loudly and clearly; moving boxes; seeing and hearing things both near and far away; and reaching, stooping, kneeling, and fine-finger and hand manipulation in use of a computer, chalkboard, dry erase board, or projector. Employee is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading. Employee may be required to walk for long distances at partner schools, corporations, or other relevant sites. Most work environments are climate-controlled, open space floor plans.
