LOCATION: Lawrence University campus, Administrative Building
PRIMARY OBJECTIVE:
Working within a diverse campus community, this position serves as the primary point of contact for all gift and pledge processing and maintains the integrity of donor financial records for the college. Tasks include receiving, recording, reconciling, and depositing funds; assisting with receipting and acknowledging gifts; recording and adjusting pledges; completing matching gift applications and follow-up procedures; creating, maintaining, and updating electronic records on university constituents; and offering exceptional customer service in communications with donors, gift officers, and others. Although this position is focused extensively on gift and pledge processing, duties also include demographic record updates.
DUTIES:
1. Gift and Pledge Processing
Work collaboratively with all members of the advancement office, and other campus offices including financial services. This position will also be in contact with alumni, faculty, students, and friends of the university.

Tasks include receiving, recording, reconciling, and depositing funds; assisting with receipting and acknowledging gifts; recording and adjusting pledges; completing matching gift applications and follow-up procedures; creating, maintaining, and updating electronic records on university constituents; and offering exceptional customer service in communications with donors, gift officers, and others. Although this position is focused extensively on gift and pledge processing, duties also include demographic record updates.
DUTIES:
1. Gift and Pledge Processing
- For daily receipts, determine donor ID and assign appropriate account, designation, and other coding for gift entry. Update records with demographic information derived from various gift and pledge correspondence.
- Accurately create and adjust gift and pledge entries in the Banner database. Attribute gifts to open pledges as appropriate. Process all types of gifts including credit cards, checks, stocks, online, and others.
- Generate daily transaction reports for university finance office and development office internal reporting. Deposit cash and checks with university cashier. Assist in monthly closing and reconciliation processes and help resolve accounting discrepancies.
- Prepare gift receipts, acknowledgement letters, and pledge reminders.
- Provide exceptional customer service when responding to inquiries from donors and development staff about gifts and pledges, and when contacting donors directly to resolve issues such as declined credit cards and incomplete gift information.
- Complete corporate matching gift applications.
- When necessary, contact donors or employers to secure applications.
- Maintain records of matching gifts applied for and received, as well as electronic records linking donors to matching gift companies.
- Work collaboratively with colleagues to maintain data integrity in the database.
- Using online research tools, search for contact information for the university's constituents, including addresses, email addresses, phone numbers, business addresses, and employment information.
- Analyze incoming information from various sources and record updates.
- Develop and maintain written documentation related to all gift, pledge, and credit card processing procedures.
Work collaboratively with all members of the advancement office, and other campus offices including financial services. This position will also be in contact with alumni, faculty, students, and friends of the university.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Must have strong clerical skills with emphasis on accuracy and attention to detail so that donor intent is met regarding allocation, amount, and degree of anonymity, and that all gifts are documented completely and recorded correctly in the college's database.
- Strong computer skills, including word processing, spreadsheets, database management, and reporting tools. Training on specific tasks will be included as part of the onboarding process.
- Cooperative attitude with team-oriented disposition with the ability to work independently and ask questions as needed.
- Consistently demonstrate sound judgment and discretion with confidential materials and information.
- Commitment to multicultural competency and interest in all dimensions of diversity.
- Ability to manage multiple priorities while demonstrating ability to remain flexible in a changing work environment.
- Excellent organizational, communication, and customer service skills.
- Internet research skills.
- Must have successful completion of criminal record check and reference checks.
- High school diploma required.
- Minimum of three years of experience or coursework in gift processing, bookkeeping, accounting, finance, or related area.
