SALARY: The salary range for this position is $47,400.76 to $74,716.17 for Schedule A, and $47,400.76 to $70,980.36 for Schedule B. For newly hired individuals, the starting salary will normally be at the minimum of the salary range. For current Judiciary employees, salary upon promotion or advancement will be an increase of 5% of base salary, not to exceed the maximum of the range, or the minimum salary of the band/level, whichever is greater.Judiciary employees hired prior to June 3, 2014, are considered Schedule A. Newly hired individuals, and Judiciary employees hired on or after June 3, 2014, are considered Schedule B.

Example of Duties

Vicinage 15 Cumberland, Gloucester, and Salem Counties is seeking a customer service and detail-oriented individual who is committed to providing total quality customer service. Under the general direction of the Court Executive 2B (Finance Division Manager) and Court Executive 1B (Assistant Finance Division Manager), the individual will interact with internal and external customers of varying titles and positions as well as provide administrative support to management and the various units within the finance division. The ideal candidate will employ self-management, leadership, strong technical and administrative skills as well as creative thinking. Candidate must demonstrate excellent verbal and written communication skills, possess the ability to work independently, adhere to deadlines, show attention to detail and accuracy, and maintain confidentiality. The successful candidate must have the ability to work on multiple assignments, while ensuring effective time management and prioritization of the same, while also participating as a positive member of a professional team.

This position will provide administrative support for the following, but not limited to:
  • Handling/drafting correspondence and mailings
  • Screening and gathering confidential information for management
  • Scheduling meetings and appointments
  • Taking meeting minutes and preparing meeting summaries
  • Screening telephone calls and/or visitors
  • Advising judges, management, and staff on various financial policies and procedures
  • Compiling and analyzing financial and/or technical data for distribution and/or action
  • Calculating fiscal and statistical information for various financial monitoring reports and routine distribution of weekly, monthly, and/or quarterly reports to the finance units or other divisions
  • Creating and maintaining spreadsheets and charts as needed
  • Establishing and maintaining a filing system as well as the preparation and maintenance of record retention and destruction lists
  • Assisting with the preparation of the yearly fixed asset report
  • Maintain inventory for the supply closet and the associated database
  • Receiving supply orders and distribute to division liaisons as needed
  • Providing training or cross-training to co-workers when necessary
  • Providing higher level technical advice and/or expertise to staff or team members
  • Regulating the flow of work in accordance with established Finance Division priorities, schedules, and due dates
  • Performing other administrative support duties as required
NOTE: Strong proficiency in Microsoft Excel is highly recommended.

Qualifications

Three years of experience in an office environment performing a variety of clerical and support services to include keyboarding and one or more of the following: document or information processing, handling payments for fees, recording monies received, reconciling balances or accounts and/or scheduling meetings or appointments.

Testing: Applicants selected to interview must pass an appointing authority administered examination to demonstrate keyboarding skills at the Judiciary standard of at least 25 words per minute, or must have otherwise demonstrated this competency as detailed below.

The appointing authority administered examination is waived for the following applicants who have been deemed to possess keyboarding skills at the Judiciary standard of 25 words per minute:
  • All applicants who possess a current typing proficiency certification issued by the New Jersey Civil Service Commission or the New Jersey Judiciary.
  • Judiciary staff that have permanent status in a career service title requiring a keyboarding, typing or stenography test.
  • Judiciary staff in unclassified titles requiring a keyboarding, typing or stenography test.

Supplemental Information

Driver's License: Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle is necessary to perform essential duties of the position.

Authorization to Work: US citizenship is not required. Selected candidate must be authorized to work in the US according to Department of Homeland Security, US Citizenship and Immigration Services regulations.

Special Note: Newly hired employees must agree to a thorough background check that will include fingerprinting. All data received will be kept in strict confidence except to inform the individual of the findings and what action will be taken as a result of this information.

Residency Law: In accordance with N.J.S.A. 52:14-7 (L. 2011, Chapter 70), the "New Jersey First Act," all persons newly hired by the Judiciary within one year must establish, and then maintain, principal residence in the State of New Jersey. Any person may request an exemption from that requirement from the Employee Residency Review Committee in the Department of Labor & Workforce Development on the basis of either hardship or employer critical need.
