A reputable downtown NYC-based Asset Management firm is seeking an organized and proactive Administrative Assistant to support their Legal & Regulatory team! The role will include corporate administrative tasks as well as legal-related responsibilities such as invoicing, filing and notarizing. Responsibilities
- Calendar management for professionals
- Coordinate quarterly board meetings including travel arrangements and meeting logistics
- Aid in preparing for meetings by organizing documents, presentations, reports, etc.
- Coordinate detailed travel itineraries
- Track payments, invoices, and manage expense reports
- Manage paper and electronic files
- Review legal documents for accuracy
- Track and manage legal projects
- Ad-hoc administrative support as needed
Qualifications
- Bachelor's degree required
- 2-5 years of experience in an administrative role (Legal Admin or Paralegal)
- Experience in Legal or Finance related field (corporate law is preferred)
- Current NY State Notary Public or willing to obtain
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
- 5 days in office required
