A reputable downtown NYC-based Asset Management firm is seeking an organized and proactive Administrative Assistant to support their Legal & Regulatory team! The role will include corporate administrative tasks as well as legal-related responsibilities such as invoicing, filing and notarizing. Responsibilities

  • Calendar management for professionals
  • Coordinate quarterly board meetings including travel arrangements and meeting logistics
  • Aid in preparing for meetings by organizing documents, presentations, reports, etc.
  • Coordinate detailed travel itineraries
  • Track payments, invoices, and manage expense reports
  • Manage paper and electronic files
  • Review legal documents for accuracy
  • Track and manage legal projects
  • Ad-hoc administrative support as needed

Qualifications

  • Bachelor's degree required
  • 2-5 years of experience in an administrative role (Legal Admin or Paralegal)
  • Experience in Legal or Finance related field (corporate law is preferred)
  • Current NY State Notary Public or willing to obtain
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
  • 5 days in office required
