About the Position Job Appointment:

Casual

Work Schedule: Schedule will be from 20 hours to 30 hours per week, averaging two to three days a week. This role will work with their hiring manager to determine their schedule.

Note: This Community Service Aide (CSA II) position has a maximum of 1,400 hours in a calendar year.

Work Location: This position will rotate between two work locations, The Portland Building - 1120 SW 5th Ave., Portland, OR 97204

in Downtown Portland (primary location) and the Water Interstate Building - 664 N. Tillamook St., Portland, OR 97227. This position requires in-office presence.

Position Summary

This position will provide administrative support for the People Operations Unit. The People Operations Unit is part of the Business Services group. This group includes many of the bureau's core employee-focused functions, including people operations, communications and outreach, equity and policy, employee experience and development, and strategic planning. This unit provides comprehensive support for improving recruitment, retention, and payroll operations. People Operations is adjacent to HR, performing a strategic function of serving employees as internal customers. They stay abreast of workplace dynamics, implementing programs that respond to an evolving workplace. The aim is to support managers and employees as a strategic thought partner.

This part-time position is for someone that has some experience in human resources related functions, has strong computer skills, attention to detail, and a willingness to contribute to the unit's success. In addition to providing routine administrative support, other tasks may include, but are not limited to - Creating data dashboards and presentations. Assisting with website editing. Assisting with payroll tasks. Providing support for meeting and event planning. Assisting employees with finding solutions to their needs. As People Operations Assistant (

CSA II), you will:

Administer program and project communications relating to employee life-cycle processes and payroll administration. Tasks may include answering employee questions, fixing processing errors, and distributing paychecks. Make recommendations and collaborate on projects improving effectiveness and efficiency. Research and share information to provide answers to questions from other Bureaus/Offices, employees, and various organizations, committees, community groups, and labor representatives. Present objective analyses, observations, findings, conclusions, and recommendations to supervisors, managers, as oral presentations and in public forums. Provide support with training, coordinating and serve on committees, and other collaborative spaces. For example, this role will assist with new hire orientation programming. To Qualify

The following minimum qualifications are required for this position:

Knowledge

of and

experience

with standard office programs, such as Microsoft Office (Outlook, Word, Excel, Teams, and more). Knowledge

of and

experience

with enterprise business systems, such as SAP. Ability

and

experience

with working in an office environment supporting tasks related to payroll, employee services, training and development, or related field. Experience

with using tact and discretion in dealing with confidential and sensitive information. Strong interpersonal, verbal, and written communication

skills , including the ability to communicate across different communication styles and cultural backgrounds.

A minimum of two years of experience, either part- or full-time, providing administrative support in one or more of the following areas - payroll, employee services, human resources, or related field.
