Incumbent serves as Civic and Events Director for the City of La Porte Parks and Recreation Department, responsible for supervising and directing assigned personnel and scheduling, directing, and organizing various events. Responsibilities Supervises and directs assigned personnel, including analyzing human resource needs, reviewing documentation for newly created or significantly revised positions, interviewing candidates and making hiring recommendations, providing training, planning, delegating, and controlling work assignments, developing, mentoring, and motivating staff, evaluating performance, reviewing salaries, and maintaining discipline and recommending corrective actions. Directs and schedules events at Civic Auditorium by other organizations and renters. Schedules and promotes events sponsored by the Civic and City of La Porte. Oversees and schedules staffing and maintenance of building. Manages and organizes various events, including, but not limited to, La Porte Sunflower Fair and Friday Night Live Events and various other City of La Porte events. Oversees ticket sales, concessions, bar transactions, and staff for the Civic and City. Orders and inventories linens, bar, and concession supplies. Solicits sponsors and sales for events and revenue products and activities. Assists with events for the La Porte County Convention and Business Bureau. Manages and promotes concerts and events promoted by the Civic. Solicits and books bands and entertainment for events at the Civic. Principal contact for event organizers and renters of the Civic Auditorium. Attends meetings for Tourism Board, Park Board, Small Business Coalition, and Civic Advisory Board. Performs related duties as assigned. Requirements Bachelor’s Degree in Public Management, Hospitality, or related field, and/or equivalent combination of education and experience. Ability to meet all hiring requirements, including passage of a drug screening. Thorough knowledge of standard policies and practices of City of La Porte Parks and Recreation Department, with ability to manage and oversee various projects and events. Practical knowledge of standard budgeting and accounting practices and procedures, with ability to oversee various sales operations, prepare detailed financial statements, and maintain complete and accurate financial records. Working knowledge of basic computer skills, including word processing, spreadsheet, email, and Department-specific software and applications, with ability to apply such knowledge to a variety of interrelated processes, tasks, and operations. Ability to effectively supervise and direct assigned personnel. Ability to effectively listen, comprehend, and communicate orally and in writing with co-workers, other City and County departments, government officials, sponsors, vendors, and the public. Ability to provide public access to or maintain confidentiality of Department information and records according to state requirements. Ability to competently serve the public with diplomacy and respect. Ability to properly operate standard office equipment. Ability to count, compute, and perform arithmetic operations. Ability to compare, compile, analyze, evaluate, and fabricate data, and make data-driven decisions. Ability to understand, memorize, retain, and carry out oral and written instructions. Ability to work alone with minimum supervision and with others in a team environment. Ability to plan and make public speaking presentations. Ability to apply knowledge of people and locations, plan and layout work assignments. Ability to testify in legal proceedings/court as necessary. Ability to regularly work extended hours, weekends, and evenings, respond to emergencies on 24-hour basis, and serve on call on rotation basis. Possession of a valid driver’s license and demonstrated safe driving record. Other Qualities Proven experience in event planning and management within the hospitality or nonprofit sectors. Strong budgeting skills with a track record of managing large-scale events successfully. Excellent communication skills, both verbal and written, with the ability to negotiate effectively. Demonstrated experience in fundraising strategies and donor relations. Exceptional organizational skills with keen attention to detail. Proficiency in event marketing techniques to reach target audiences effectively. Ability to work under pressure while managing multiple projects simultaneously. A passion for creating memorable experiences that align with our mission. Difficulty of Work Incumbent performs a broad range of duties involving complex and complicated considerations and problems. Responsibility Incumbent performs duties within general Departmental objectives, where interpretations of objectives are discussed with the supervisor. Personal Work Relationships Incumbent maintains frequent communication with co-workers, other City and County departments, government officials, sponsors, vendors, and the public. Incumbent reports directly to Park Superintendent. Physical Effort and Work Environment Incumbent performs duties in a standard office environment and in the field/outdoors, involving sitting/walking at will, sitting/standing/walking for long periods, driving, walking on uneven terrain, working in extreme temperatures, working in noisy environments, working in high places and confined areas, lifting/carrying/pushing/pulling objects occasionally weighing over 50 pounds. Incumbent is regularly required to work extended hours, weekends, and evenings, respond to emergencies on 24-hour basis, and serve on call on rotation basis.
