Position Overview:
We are seeking a professional and resourceful Executive Assistant to support the senior leadership team, including the CEO, COO, CFO, and other C-suite executives. The ideal candidate will be highly organized, detail-oriented, and able to thrive in a fast-paced, high-pressure environment. This individual will play a key role in facilitating the daily operations of the firm, handling complex administrative tasks, and managing a range of executive responsibilities to enhance the productivity of our senior leadership.
Key Responsibilities:
Executive Support : Provide comprehensive administrative support to the C-suite executives, including managing calendars, scheduling meetings, and coordinating travel arrangements. Meeting Preparation & Follow-up : Prepare agendas, meeting materials, and presentations. Attend meetings when necessary, take notes, and ensure appropriate follow-up actions are completed. Communication Liaison : Act as a gatekeeper and first point of contact for internal and external stakeholders, managing both phone and email communications, while maintaining a high level of professionalism and confidentiality. Document Management : Prepare, edit, and proofread reports, presentations, and correspondence. Organize and maintain both physical and digital files in a timely and efficient manner. Project Management : Assist with the management and coordination of various strategic projects, ensuring that deadlines are met and deliverables are completed. Travel Coordination : Coordinate complex travel itineraries, including flights, accommodations, and ground transportation, while ensuring that travel aligns with business needs and executives' schedules. Expense Management : Process expense reports, track spending, and assist with budget preparation for various projects and departmental needs. Event Coordination : Organize internal and external events, such as board meetings, investor presentations, and team offsites, including logistics, catering, and venue selection. Confidentiality and Discretion : Handle sensitive information and maintain strict confidentiality at all times. Qualifications & Skills:
Experience : Minimum of 5 years of experience supporting senior executives, ideally in a private equity, financial services, or corporate environment. Education : Bachelor's degree or equivalent experience is preferred. Organizational Skills : Exceptional attention to detail with the ability to manage multiple priorities and deadlines efficiently. Communication : Excellent verbal and written communication skills, with the ability to interact professionally with high-level executives, investors, and clients. Technical Proficiency : Advanced skills in Microsoft Office Suite (Excel, PowerPoint, Word) and familiarity with project management tools (e.g., Asana, Trello). Experience with CRM software and other financial tools is a plus. Problem-Solving : Proactive, resourceful, and able to anticipate needs and solve problems independently. Discretion : High level of confidentiality and the ability to manage sensitive or confidential information with professionalism. Adaptability : Ability to work well in a fast-paced, ever-changing environment and manage competing priorities with grace and composure.
Compensation:
Depending on years of experience, the target salary range for this position is $80,000-110,000 per year.
