About the position:
TJFACT is seeking to hire an Administrative Support Specialist III to support our United States Department of State (DOS) Diplomatic Technology (DT – formerly IRM) client in Washington, DC.
The Administrative Support Specialist III will provide a wide range and scalable administrative support services to support DT. This individual will directly support the DT/EI/IM team.

DUTIES AND RESPONSIBILITIES:
Administrative Skills:
- Proficiency in office software (e.g., Microsoft Office Suite: Word, Excel, Outlook, PowerPoint).
- Strong organizational skills with the ability to manage multiple tasks and prioritize responsibilities.
- Knowledge of office equipment, including copiers, fax machines, and phone systems.
- Excellent verbal and written communication skills.
- Customer service-oriented with a professional demeanor when interacting with staff, clients, and vendors.
- Ability to handle multiple tasks simultaneously and manage time effectively to meet deadlines.
- Flexibility to adapt to changing priorities and schedules.
- Ability to proactively identify and resolve office-related issues with minimal supervision.
- Detail-oriented with a focus on accuracy and quality of work.
- Experience with basic bookkeeping tasks, including simple expense tracking and budget management.
- Ability to handle sensitive information discreetly and maintain confidentiality.
- Proficiency in scheduling meetings, maintaining calendars, and organizing events as needed.
- Ability to manage office supplies, ordering, and inventory control.
- Familiarity with office management systems.
- Experience with online scheduling tools, such as Google Calendar or Microsoft Teams, preferred.
- Strong interpersonal skills to work well in a team and support staff as needed.
- Ability to assist in onboarding new hires and maintaining office culture and morale.
- Punctual and reliable with a strong work ethic.
- Maintains a professional appearance and a positive attitude in all interactions
- High school diploma or equivalent required; associate or bachelor’s degree in business administration or related field preferred.
- A minimum of two (2+) years of experience in an office administration, clerical, or receptionist role.
- Proven knowledge of office administrative support
- Highly organized, detail-oriented, and capable of managing sensitive information with confidentiality and integrity.
- Demonstrated experience in taking notes, scheduling meetings, and appointments, and provide assistance to visitors.
- Proficiency in the entire Microsoft (MS) Office Suite, including but not limited to Word, Excel, PowerPoint, Visio, Outlook, and Project
- Demonstrated experience in problem solving and attention to detail.
- Strong organizational and planning skills
- Excellent time management skills and ability to multi-task and prioritize work.
- Functional knowledge in business processes, office management, computer applications, and customer services
- Excellent written and verbal communication skills
