Administrative and Operations Assistant
The Administrative and Operations Assistant will directly support the Corporate Chief Operating Officer and Toms River Branch Manager, as well as office staff within the Toms River Branch.
The ideal candidate will have the ability to comfortably interact with all members of our staff including executives, management, and business partners while remaining flexible, proactive, resourceful, and efficient. This position requires a professional demeanor, results-focus, technology competence, and the ability to keep sensitive business information strictly confidential.

Responsibilities include, but are not limited to:
- Assisting with daily operational tasks such as scheduling appointments, coordinating meetings, maintaining office supplies, and coordinating office staff events
- Supporting the COO in tasks and projects related to the operations, marketing, and IT departments of the company
- Acting as a liaison between the COO and a wide array of internal and external contacts including senior management, human resources, accounting and other internal departments
- Providing operational and basic project management for key initiatives, e.g., keeping track of progress and managing communications with stake holders
- Managing and performing administrative tasks such as preparing proposal documents, processing invoices, preparing agreements and contract request forms, and working on materials for internal business reviews and presentations, as needed
- Coordinating and maintaining the branch staff schedule calendar
- Assisting with coordinating the oversight of the maintenance and repair of office equipment
- Managing communications and correspondence between different departments and external parties
- Creating and maintaining comprehensive databases, reports, and spreadsheets on organizational metrics and other related information, as assigned
- Providing administrative support including answering phones, mail distribution, mailing documents, and preparing expense reports
- Providing excellent customer service and maintaining relationships with vendors
Requirements:
- HS Diploma required. Associates Degree highly preferred; Bachelor's Degree a plus
- 3+ years of proven experience as an executive assistant or other relevant administrative support position; experience at an engineering or professional consulting firm a plus
- In-depth working knowledge of entire MS Office suite; experience with Deltek Vison a plus
- Ability to efficiently and effectively organize daily workload priorities
- Proactive approach to problem-solving with strong decision-making skills
- Professional-level verbal and written communications skills
- Ability to work in independently and collaboratively
- Ability to provide references upon request
