Executive/Senior Administrative Assistant

**Immediate Opportunity**

CSEngineering is looking to add a Executive/Senior Administrative Assistant to our growing team! The Executive Senior Administrative Assistant will provide administrative support services to advance the agencies mission by ensuring efficient operation of the DCSA offices. In this role, you will provide the DCSA Equal Employment Opportunity with supplemental administrative support services for a wide variety of tasks and requirements in support of the DCSA Mission Areas, Mission Support Areas, and Special Staff, including: Records and File Management, Employee In and Out Processing, Support to EEO Leadership.

JOB RESPONSIBILITIES

  • Support the planning and executing conference(s) or event(s), including but not limited to: a) Ceremonies (Retirements, Promotions, Awards, etc.); b) Office Training; c) Orientations; and d) Off-site meetings
  • Provide advice and recommendations to the Director, Deputy Director, and Chief of Staff, DCSA on all matters relative to the coordination, integration, and synchronization, of staff actions, events, and activities personally affecting and involving the DCSA Immediate Office.
  • Assist the Director, Deputy Director, and Chief of Staff in the execution of all matters pertaining to strategic visits and communication.
  • Relieve the Director, Deputy Director, and Chief of Staff of detailed planning relating to a wide variety of complex communications issues and messaging initiatives.
  • Develop, coordinate, manage, lead, and deliver multiple, critical, daily and weekly strategic activities and communications on behalf of the Director.
  • Attend high-level internal and external meetings and briefings with, or for, the Director, Deputy Director, and Chief of Staff and takes notes, documents actions, follows up as required and monitors action through to completion.
  • Independently create and brief messages/presentations to DCSA senior leadership, as well as to the total DCSA workforce (i.e., town halls).
  • Develop plans and objectives for assigned projects. Initiate and conduct studies and analyses on projects, issues, and problem cases. As requested, take and/or coordinate with senior officials at headquarters and/or operational levels to assure that actions are in keeping with the Director's philosophy and priorities.
  • Identify areas needing emphasis and exercise executive guidance to ensure programs and initiatives accurately meet expectations.
  • Monitor and correlate internally assigned initiatives and taskers; ensure that all relevant DCSA offices have been assigned or informed of requirements. Monitor DCSA organizations' progress toward meeting such suspense dates in a timely manner.
  • Review work products from DCSA organizational elements that respond to front office suspense dates, ensuring they contain complete information that is responsive to the incoming tasking. Incorporates interrelated products and responses from various DCSA organizations into overall response for the Director's approval. Ensures these DCSA work products incorporate the Director's instructions, and that they are aligned with DCSA priorities.
  • Attend DCSA and OSD meetings with the Director, Deputy Director, and Chief of Staff.
  • Follow up within DCSA and with Under Secretary of Defense for Intelligence (USD(I)) and Deputy Under Secretary of Defense for Intelligence and Security (DUSD(I&S)) staff officers on action items resulting from those meetings
  • Respond to, substantive inquiries from USD(I) and DUSD(I&S) staffers regarding DCSA Transformation Plan, DCSA Strategic Plan, complex program issues, Congressional inquiries and other important or urgent issues that would otherwise be addressed to the DCSA Director, Deputy Director, and Chief of Staff.
  • Manage numerous high priority special projects for the Director, Deputy Director, and Chief of Staff. These highly complex projects are of critical importance to DCSA and the leadership of the DoD. These projects require substantial and detailed research and offer the opportunity to make recommendations.
  • Will manage budgetary and contractual oversight requirements and assisting in budget formulation, tracking, and taskings for EEO.
REQUIRED CERTIFICATIONS AND QUALIFICATIONS

Security Clearance: Secret clearance.
  • Must have at least an Associates degree.
  • 2 - 4 Years administrative work experience.
  • Experience in financial management, budgeting, and contracts.
  • Attention to detail, time management, and the ability to multitask with multiple high priority projects are key desired skills.
  • Possess excellent and professional verbal and written communication skills and provide well-written, articulate responses to compliance issues
  • Familiar with and proficient in standard off-the-shelf software, internet, word processing, and image packages such as, but not limited to, the following:
  1. Microsoft Office Products (Word, Excel, Access, PowerPoint, Project, Outlook, Teams, InfoPath, etc.)
  2. Adobe Suite (Acrobat InDesign, Adobe Photoshop, Adobe Illustrator, Adobe Acrobat, Adobe PageMaker, Adobe Premier)
  3. Web-based browsers such as Chrome and Microsoft Edge
  4. SharePoint
Additional Info:

Additional tasks the Executive/Senior Administrative Assistant may perform include but are not limited to:
  1. a) Training and development
  2. b) On-boarding/Off-boarding of civilian employees, which shall be completed in accordance with current DCSA policy and procedures.
  3. c) Employee Orientation
  4. d) Manpower Planning/Staffing Actions

    Location: DCSA, Telegraph Rd, Quantico, VA (Onsite).
