Position Summary
The Administrative Assistant is responsible for providing high-level administrative support to members of the leadership team requiring judgement and discretion. They manage time, information, and communications reliably and professionally using sound judgment. The Administrative Assistant works independently to respond to complex and sensitive issues and balances conflicting priority duties. They maintain excellent working relationships with employees and leadership at all levels with the highest levels of integrity and confidentiality.
Key Responsibilities
- Provides a broad range of administrative support functions for management which include coordinating office communications, scheduling, workflow, and processing of office forms.
- Coordinates, maintains, and creates various events, schedules, and calendars. Makes travel arrangements and coordinates large group meetings.
- Serves as a primary point of contact for office communications. Prioritizes, composes, and disseminates written and oral information to internal and external customers.
- Coordinates facilities requests and organizational needs; conducts research and analytical activities involving the gathering of background material and data in support of projects.
- Compiles, composes, edits, produces, and distributes a variety of documents including, but not limited to, detailed memos, e-mails, correspondence, reports, speeches presentations and other communications as needed.
- Takes and transcribes minutes of meetings; distributes agendas, minutes, and other materials to attendees.
- Maintains confidential files and records for assigned area of responsibility.
- Receive and screen all visitors and telephone calls providing information and handling issues that may require sensitivity and sound independent judgment.
- Perform data entry and maintain databases for Watterson programs and surveys.
- Using word processing software, compose routine and/or type memoranda, correspondence, reports, presentations, forms and other documents often of a highly sensitive and confidential nature.
- Proofread and check typed and other materials for accuracy, completeness, and compliance of Watterson policies and procedures.
- Schedule and confirm meetings and appointments.
- Screen requests for appointments.
- Make and confirm travel arrangements as assigned.
- Make arrangements for meetings and conferences.

Requirements
Experience/Education
- Associate's Degree in related degree preferred
- 2-3 years of administrative experience
- Proficient in Microsoft Office Suite or related software.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing
Salary Description
$45,000-55,000
