How you will contribute

Valmont is currently seeking a highly motivated and talented individual for the Administrative Support Specialist position at the Claremore Coatings Division. We are looking for a highly driven, bi-lingual individual with excellent communication skills, attention to detail and the ability to multi-task. Essential Functions include:

Greet and provide customer service for visitors

Operates telephone console to receive incoming calls; Screens and directs calls to appropriate destinations

Records complete phone messages and emails to appropriate staff members.

Keeps track of staff for the purpose of making/directing calls

Accepts packages, documents receipt, notifies department for pickup

AP matching; ensuring POs and packing slips and bill of ladings match

Provides translation support for site leadership in both verbal and written communications

Participates in new employee orientation as support to the HR Manager with non-English speaking employees

Serves as back-up for order entry of shop orders in VCC Max

Alerts plant leadership of expedited orders when requested

Tracks certificate of insurance updates

Completes vendor setup in QAD through shared services and prints quarterly and bi-annual vendor reports

Request and track new customer credit applications

Monitors office supply inventory and distribution

Opens, date stamps, and distributes mail daily as soon as received

Always maintains staff confidentiality

Maintains a professional appearance

Maintains a professional and courteous attitude

What it takes

Qualifications:

Education and/or Experience:

High school diploma or General Education Degree (GED)

or

One to three months related experience and/or training

or

Equivalent combination of education and experience

Must be computer literate with an understanding of the various office operating software

Must be proficient in Excel and 10 key

Language Skills:

Must be able to read and write in Spanish for correspondence with employees and site leadership

Must be able to read and comprehend simple instructions, short correspondence, and memos
