Position Description
The Executive Assistant provides high-level administrative support to multiple executives, ensuring smooth operations and acts as a key liaison between the executive team and internal/external stakeholders. This role requires exceptional organizational, communication, and multitasking skills, as well as discretion and professionalism in handling sensitive information. This position reports to the CEO for North America and provides direct support to the NYC office.
The ideal candidate should work well in a fast-paced, dynamic team setting and have experience supporting senior level staff. In addition, the candidate should have advanced experience with Microsoft Office and management information systems. The successful candidate will have excellent multi-tasking skills, be self-driven and demonstrate a high level of competence.
GeneralResponsibilities
Administrative Support:
- Manage and maintain executives' schedules, including appointments, meetings, and travel arrangements.
- Coordinate and prepare meeting agendas, presentations, and minutes.
- Handle correspondence (emails, calls, and mail), drafting responses as needed.
Project Management:
- Assist in planning, executing, and tracking special projects or initiatives.
- Monitor deadlines and ensure deliverables are met.
- Act as a point of contact for project-related inquiries.
Event Coordination:
- Organize executive meetings, special events and training events.
- Coordinate logistics, including scheduling, travel and technical setup.
Communication and Liaison:
- Act as a gatekeeper and facilitator of communication between the CEO and other stakeholders.
- Build relationships across teams to foster collaboration and liaison with external stakeholders.
Document Preparation:
- Prepare reports, presentations, spreadsheets, and other documents as required.
- Ensure all materials are accurate and ready for distribution.
Confidentiality:
- Handle sensitive information with discretion and professionalism.
- Safeguard company data and executive communications.
General Office Management:
- Monitor office supplies and coordinate with vendors as necessary.
- Support other administrative staff and contribute to the overall efficiency of the office.
Minimum Qualifications
- Associate's degree (A.A.) or equivalent, and five years related experience, or equivalent combination of education and experience.
- Excellent verbal and written communication skills.
- Proficient with Office 365, Adobe Creative Suite, and Salesforce.
- Acute attention to detail and commitment to excellence.
- Ability to work on complex projects with general direction and minimal guidance.
- Ability to deal effectively with a diversity of individuals at all organizational levels.
- Good judgement with the ability to make timely and sound decisions
- Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
- Demonstrated ability to plan and organize projects.
