Red Carrot is seeking an 1099 Executive Assistant who will be critical in providing dedicated support to our federal client's executive team. With a minimum of five years of experience in executive assistance, you will be responsible for managing calendars, coordinating travel arrangements, and delivering various administrative support services to ensure the efficiency of their daily operations.
This contract requires onsite 5 days a week in Alexandria, VA. 

KEY RESPONSIBILITIES:
Executive Calendar Management:
  • Efficiently manage and organize the executive team's calendars, including scheduling appointments, meetings, and conference calls.
  • Prioritize and coordinate appointments to optimize time management and productivity.
Travel Coordination:
  • Plan, book, and coordinate complex travel itineraries, including flights, accommodations, transportation, and other logistical arrangements.
  • Ensure travel plans align with the executive team's preferences and business requirements.
Administrative Support:
  • Provide comprehensive administrative assistance, such as drafting and proofreading correspondence, preparing reports, and maintaining accurate records.
  • Assist with the preparation of documents, presentations, and meeting materials.
Communication and Liaison:
  • Serve as a primary point of contact for internal and external stakeholders, demonstrating professionalism and discretion.
  • Facilitate effective communication within the executive team and across the organization.
Task Prioritization:
  • Prioritize tasks based on urgency and importance, ensuring that the executive team's priorities are met promptly.
  • Act as a gatekeeper, managing incoming requests and inquiries efficiently.
Problem Solving:
  • Identify and resolve issues independently when possible and escalate matters as needed to ensure prompt resolution.
  • Display adaptability and resourcefulness in addressing unexpected challenges.
Qualifications:
  • Proficiency in calendar management and scheduling tools.
  • Exceptional organizational and time management skills.
  • Strong communication and interpersonal abilities, with a high degree of professionalism and discretion.
  • Proven ability to handle confidential information and sensitive matters with the utmost integrity.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong problem-solving and multitasking skills.

QUALIFICATIONS:
Must Haves:
  • Minimum of five years experience providing executive-level support to senior executives
  • Proficiency with business analysis tools and techniques
  • Proficient in Microsoft Office 365 
  • Ability to meet requirements to obtain a Public Trust Clearance or an existing Public Trust or Security Clearance
  • Exceptional written and verbal communication skills
  • Strong organizational and project management abilities.
  • Ability to handle sensitive and confidential information with discretion
Nice to Haves:
  • Knowledge of federal agency operations and policies
  • Federal government experience
  • Experience with Public Trust or Security Clearance processes
  • Well-organized with a keen eye for detail
