Orthopedic sports medicine physician practice looking for a highly motivated individual to join our team as a Patient Scheduling team member.

DUTIES INCLUDE, BUT ARE NOT LIMITED TO:
  • Manages large volumes of inbound calls in a timely manner; always identifying self and clinic.
  • Answers all calls in the queue in a timely and efficient manner
  • Handles all incoming telephone calls from patients, makes appointments in appropriate time slots for doctors and answers general questions and inquiries
  • Uses computer system to refer existing patient information or set up new patients
  • Provides patients with available time slot and desired location to ensure full use of all physician time slots
  • Communicates all add-ons, delays, cancelations, and no shows to Clinical Coordinator
  • Responsible for inputting very detailed information on the patient using a variety of computer screens i.e. personal information and insurance
  • After completion of the call and input of the patient information, representative checks records
  • Verifying the details entered and adds any additional notes that may be necessary.
  • Explains all patient financial responsibility and informs patient of payment required for existing balances due at or before next appointment
  • Provides information to callers on practice policies and procedures such as what is required following
  • Secures patient information and maintains patient confidence by completing and safeguarding medical records and keeping patient information confidential.
  • Maintains general filing system and files appropriate correspondence electronically or manually.
  • Receives, directs, and relays telephone and fax messages.
  • Responds to calls efficiently, not put time saving before quality of service.
  • Maintain inventories of supplies and provides a list of what is needed to the manager
  • Must be able to cover Patient Experience/Front desk as needed
  • Performs other general administrative tasks as directed by Patient Experience Manager or Team Lead
EDUCATION:

High School diploma or GED required

QUALIFICATIONS:
  • Knowledge of medical practice NextGen HER software (preferred)
  • Knowledge of insurance benefit structures
  • MS Office, basic office support skills (telephone, filing, data entry) and basic math skills.
  • Excellent telephone etiquette, pleasant personality and customer service skills.
  • Bilingual in Spanish and English
EXPERIENCE:

1+ years of experience working in an office, clerical or medical facility.

Experience with electronic scheduling system and electronic medical records (EMR) required.
