Office Associate

Position Overview:

• Provide support to the following functions: Marketing, Sales, Production, Finance, Administration, Human Resource and Business Development.

Responsibilities:

• Represent the company to customers, painters and associates.
• Create sales packages, send and schedule estimates for Sales Associates
• Send estimate follow up letters to customers with Sales Associate's direction.
• Ensure all marketing tactics are executed as per the Company's Annual Marketing Plan.
• Ensure all customer mailing lists are up to date.
• Maintain inventory and update all point of sale material.
• Order paint and materials with Production Associate's direction.
• Pay all bills and maintain all files in Quickbooks
• Process Painter Payroll on all jobs weekly
• Invoice and process payments from customers
• Manage production calendar for all jobs daily/weekly and monthly
• Assign (with Sales Associates direction) workorders
• Manage paperwork for new hires and 1099 contractors
• Conduct constant follow ups with customers.
• Participate in regional or national on-going training conferences/meetings.
• Maintain vendor relations and files (insurance, equipment vendors, suppliers and crews)

Qualifications/Certifications:

• High school diploma
• College degree a plus
• Experienced with social media and digital marketing
• Organized and detail oriented
• Knowledge of Microsoft office packages especially Excel
• Proficiency in QuickBooks
• Excellent verbal and written communication skills
• Excellent organizational and time management skills
• 5 years of Office Assistant experience (preferred)
• Dual language a plus (English/Spanish)
