The Department of Medicine has an outstanding opportunity for an Academic HR Manager to join their team.

POSITION PURPOSE

The Department of Medicine is the largest department in the School of Medicine with over 4500 staff, faculty, trainees, and students and an annual budget of approximately $500,000,000. The department consists of eleven subspecialties divisions and occupies space at multiple sites including University of Washington Medical Centers, Harborview Medical Center, Veterans Administration Puget Sound Health Care System, Bloodworks NW, Fred Hutch, and other locations in the Seattle area.

The Academic HR Manager is responsible for the management, oversight, and strategic planning of faculty appointments, medical staff appointments, reappointments, promotions, compliance requirements, annual reviews, evaluations, onboarding, and separation processes for faculty and academic personnel employment programs in assigned divisions. This position is accountable for the employment program/process results.

This position serves as a key administrative contact and partner for multiple Division Heads, Division Administrators, Department leadership, and faculty committees regarding faculty affairs. This position requires thorough knowledge of the layered and multi-variable appointment and credentialing processes.

The successful candidate must be capable of viewing faculty appointment and human resource issues from a high level to ensure all entities involved in payroll, facilities, clinical programs, and administration are properly considered.

DUTIES AND RESPONSIBILITIES

Academic Human Resources and Faculty Affairs (75%)

  1. Promotion Process: Advise on promotion process and timelines, manage tracking systems for faculty appointments, and ensure compliance with Department deadlines.
  2. Faculty and Academic Personnel Appointments & Reappointments: Manage faculty recruitment and appointment processes, ensuring accurate and timely completion of required materials.
  3. Medical Staff & Practice Plan Appointment Coordination: Manage credentialing and practice plan appointments for clinical faculty.
  4. Faculty Review Process: Partner with Department Academic HR team to ensure compliance with Faculty Code requirements and assist with faculty voting processes.
  5. Program Management: Build and enhance working relationships with internal and external entities and document policies.

Problem Solving and Process Improvement (15%)

  1. Build trust with division leadership to facilitate smooth AHR processes.
  2. Research and resolve questions regarding academic HR actions.
  3. Engage in continuous process improvement and create process guides.

Special Projects & Other (10%)

  1. Plan and complete special projects as assigned.
  2. Participate in professional activities to keep abreast of changes and new policy developments.

MINIMUM REQUIREMENTS

Bachelor’s Degree in Business Administration, Communications, Higher Education or a related field and a minimum of 3 years’ experience with progressive responsibility in human resources or related field at a diverse, complex organization.
