Job Summary

As an Executive Assistant at Harper’s Pharmacy, Inc., you will be responsible for providing high-level administrative support to one or more Executive(s)/Officer(s) at AmeriPharma. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will be responsible for facilitating seamless communication, managing schedules, written correspondence/email management, and ensuring smooth operations for the Executive and/or the Executive team.

Duties and Responsibilities

  • Manage and coordinate complex calendars, scheduling meetings, appointments, and travel arrangements for executives.
  • Prepare and organize documents, reports, and presentations for meetings.
  • Act as a liaison between executives and internal/external stakeholders, maintaining professionalism and confidentiality.
  • Assist in project management, tracking deadlines, and ensuring timely completion of tasks.
  • Handle correspondence, including emails, phone calls, and mail, prioritizing responses and actions as needed.
  • Maintain and organize files and records, both digital and physical, ensuring easy retrieval and compliance with company policies.
  • Conduct research and compile information to support decision-making processes.
  • Assist with event planning and coordination for company meetings and functions.
  • Perform other administrative tasks as required to support the executive team.

Required Qualifications

  • 4+ years of experience as an executive/administrative assistant, secretary, or in a similar administrative role.
  • Excellent verbal and written communication skills, with the ability to interact professionally with executives, staff, and external partners.
  • Understanding of and commitment to maintaining confidentiality (e.g., proprietary information, business/trade secrets, business plans, financial information, etc.) in accordance with HIPAA, HITECH, and other applicable regulations.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Strong organizational and multitasking abilities, with a keen attention to detail.
  • Professional demeanor in both appearance and communication.
  • Knowledge of international or cultural differences.

Education and Experience Requirements

  • Bachelor's degree in Business Administration, Healthcare Administration, Communications, Legal, or related fields.
  • Demonstrates commitment to ethical practices and integrity in all professional interactions.
  • Maintain a professional demeanor in both appearance and communication, fostering a respectful and positive workplace atmosphere.

Preferred Qualifications

  • Experience in a healthcare setting or familiarity with healthcare operations.
  • Certification as a Professional Administrative Assistant (PAA) or similar credential.
  • Multilingual.
