This is an exciting opportunity to work for one of the top law firms in the U.S.! Davis Wright Tremaine LLP is looking for an Executive Assistant to join our team in our Seattle office.
We offer a hybrid work engagement with two days of remote work, and three days in-office.
This position is responsible for providing executive-level administrative support to the firm’s Chief Administration Officer (CAO), Seattle Office Partner-in-Charge (PIC), and Seattle/Bellevue Office Administrator (OA). The Executive Assistant connects departments to provide comprehensive support, anticipating needs while effectively meeting timelines and priorities. The role completes a broad variety of tasks including partnering with leadership to execute firm initiatives, managing calendar; preparing project-based budgets; composing and preparing confidential and/or sensitive correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and ensuring meetings and materials are efficient and effective.

- Manage sensitive matters with a high level of confidentiality and discretion, especially decisions impacting firm operations.
- Navigates dynamic political situations with excellent judgment and situational awareness.
- Work closely with managers or project leaders to facilitate timely and effective implementation of strategic plans and objectives.
- Provide support, including drafting reports, creating/maintaining spreadsheets, and preparing presentations.
- Coordinate meetings and seminars, taking the lead in logistics and engaging vendors for successful events.
- Analyze and review contract proposals from various vendors, performing cost analysis against the budget.
- Participate in department, committee, and firm meetings, preparing agendas and reviewing meeting materials.
- Review and track budget information, analyzing data, creating reports, and presenting findings to management.
- Work proactively with lawyers, firm management, and various departments on short- and long-term projects.
- Be responsible for timely and effective project implementation, managing timelines and executing simultaneous deliverables.
- Successfully complete aspects of deliverables with a proactive approach, including drafting letters and preparing reports.
- Prepare internal and external communications and materials on behalf of managers, departments, and practice area leadership.
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents.
- Arrange travel and accommodations for executives, handling expense reports.
- Screen incoming calls, take accurate messages, and respond to requests; handle extensive client and business contacts.
- Plan, coordinate, and manage Outlook calendars, resolve scheduling conflicts, and coordinate complex travel itineraries.
- Proactively keep managers informed of upcoming commitments and responsibilities.
- Prepare agendas, reports, and presentations; compose sometimes confidential correspondence.
- Develop and maintain professional relationships, ensuring efficient teamwork and providing clear direction and feedback.
- Coordinate department meetings, taking the lead in logistics and engaging the appropriate parties to ensure a successful meeting.
- Maintain paper and electronic filing systems, ensuring compliance with Information Governance policies.
- Partner with billing and collections departments, monitoring budgets for reporting purposes.
- Other duties as assigned.
Join us if you have:
- Excellent written and verbal communication skills.
- 3+ years’ experience as an executive-level assistant, preferably in a law firm or other professional services organization.
- Prior project coordination experience.
- Demonstrated proficiency with MS Office Products (Outlook, Word, Excel, PowerPoint, Visio, Teams) required. Working knowledge of document management systems preferred.
- Exceptional grammar, proofreading and organizational skills.
- Ability to maintain composure, communicate clearly, and handle stressful situations in a professional manner.
- Strong empathy and diplomacy to understand and respond to the needs of others.
- Demonstrated change agility to balance competing priorities and adapt to changing business needs.
- Demonstrated high degree of attention to detail and confidentiality.
- Willingness to adapt to and learn new technology, software programs, and upgrades.
- Willingness to work in a team-oriented environment.
- Ability to understand and follow work instructions with minimal supervision, and regularly update status reports.

Washington State
The annualized salary range for this position in Washington is $96,000 to $107,000 ($49.23-$54.87 hourly). Actual pay will be adjusted based on the candidate’s education, training, experience and other job-related factors permitted by law. Full time employees may be eligible for a bonus, health insurance with an optional HSA, long term disability, dental insurance, vision care, telemedicine and virtual short term solution based counseling services, life insurance, Healthcare and Dependent Care Flexible Spending Accounts, subsidized backup care and caregiving resources, 401(k), vacation, sick time, 11 paid holidays each year and an employee assistance program. For full-time employees, the initial vacation benefit is 15 days per year and 11 days of sick leave per year, accrued bi-weekly. Additional voluntary programs include: voluntary accident insurance, voluntary life, voluntary disability, voluntary long term care, and pet insurance. Commuter and Transit programs are also available.
