We are seeking an Executive Assistant to assist our growing early-stage defense company. Our EA will be working directly with our founders, managing calendars, handling communications, coordinating travel arrangements, preparing documents, and overseeing various administrative tasks.

This role will require strong organizational skills and an ability to handle confidential information with discretion. This person will essentially act as a key point of contact for the founders and ensure their day-to-day operations run smoothly.

This position requires a daily in-office presence at our headquarter location in El Segundo.


Key Responsibilities
  • Calendar Management: Managing schedules, scheduling meetings, appointments, and prioritizing important matters.
  • Communication Management: Answering phone calls, managing emails, drafting correspondence, and filtering incoming communications.
  • Travel Arrangements: Booking travel, arranging accommodations, and managing itineraries.
  • Document Preparation: Creating presentations, reports, memos, and other documents as needed.
  • Meeting Coordination: Setting up meetings, preparing agendas, taking minutes, and distributing follow-up information.
  • Onsite Visits: Assisting teams with hosting onsite visitors, ensuring NDAs are on file, coordinating visits, preparing any special accommodations needed pre- or post-meeting(s), sending out reminders and recaps.
  • Expense Reports: Tracking and submitting expenses as requested.
  • Project Assistance: Supporting on special projects as assigned.
  • Office Management: Working with Operations Lead, responsible for assisting with ordering office supplies, managing office logistics, and coordinating with other departments on needs.
  • Confidentiality: Maintaining confidentiality of sensitive information, including proprietary documentation.
Required Skills
  • A minimum of 3 to 5 years administrative experience, preferably within a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Docs.
  • Ability to prioritize tasks and manage multiple demands.
  • Discretion and ability to handle confidential information.
  • Detail-oriented and accuracy in work.
  • High School diploma required; Bachelor's Degree preferred.
  • Must be able to be onsite in El Segundo, CA daily; local candidates strongly preferred (no relocation offered).
ITAR Requirements
  • To conform to US Government Regulations, applicant must be a (i) U.S. Citizen or National, (ii) U.S. lawful, permanent resident (aka green card holder), (iii) Refugee under 8 U.S.C § 1157, or (iv) Asylee under 8 U.S.C. § 1158, or be eligible to obtain the required authorizations from the U.S. Department of State. Additional Requirements
  • Ability to work extended hours and/or weekends as needed for mission-critical deadlines.
Bonus Points
  • Start-up experience highly desirable.
  • Bookkeeping/some basic accounting experience a strong plus.
  • Prior experience supporting multiple executives at once preferred.
  • Experience with Confluence, Sharepoint, Drive, Asana, Slack and other collaborative tools highly desirable.

$75,000 - $85,000 a year
Exact compensation may vary based on skills, experience and location.
