Job Summary of the Litigation Secretary position

Integr8staff seeks a versatile and experienced Litigation Secretary. This position requires a highly motivated individual with experience in all facets of litigation (some of which must be state and federal litigation with healthcare practice experience).


Responsibilities of the Litigation Secretary position

  1. Format, input, edit, retrieve, copy, scan, and transmit legal documents
  2. Prepare pleadings and discovery documents for filing and service
  3. Schedule depositions with attorneys, clients, witnesses, and court reporters
  4. e-Filing – State and Federal
  5. Manage and plan calendar of all appointments, conferences, and meetings
  6. Daily review and prioritization of client correspondence and communications
  7. Create pleading/discovery binders, indexing, filing documents, organize and file case documents
  8. Client intakes, editing contracts, and handling mailings
  9. Schedule conference calls and on-site/off-site meetings
  10. Prepare draft engagement and confirming letters as needed
  11. Prepare and submit new matters; change intakes for existing matters concerning adverse parties and billing contact and other information and collaborate as needed
  12. Arrange and coordinate travel arrangements
  13. Partner timesheets, expense summaries, and client bills
  14. Utilize docketing/calendaring department to track court and filing deadlines
  15. Assists with overflow work and other projects as assigned
  16. Perform overflow typing, filing, or photocopying as requested by other attorneys
  17. Maintain client confidence by keeping client/attorney information confidential

Requirements of the Litigation Secretary position

  1. 3+ years of litigation secretary experience in a law firm (state and federal litigation experience)
  2. Extensive knowledge of litigation e-filings and trial procedures, federal, state and appellate court procedures, and federal and state court rules is required
  3. Excellent verbal and written communication skills
  4. Must have the ability to learn new skills and systems quickly
  5. Type 75+ wpm and have excellent spelling, grammar, and punctuation
  6. Bachelor’s Degree preferred
  7. Secretarial Certification, ABA approved Paralegal Certification preferred
  8. Experience working with a document management system
  9. Proficient in iManage, ProLaw, Microsoft Office Suite applications Word, PowerPoint, Excel, etc.
  10. Excellent technical, organizational, and administrative skills as well as strong interpersonal skills
  11. Able to prioritize and work independently in a fast-paced environment
  12. This person should be able to work under pressure, be flexible, proactive, resourceful, and efficient
  13. Candidate must be able to handle multiple projects and changing priorities on a very busy desk
  14. Must be able to work in the office 1 day per week following approx. 3 month training period
