This position provides secretarial support to the supervisor and staff of the Coastal Management Program Unit (CMPU), Field Operations Support Section (FOSS), Water Resources Division's (WRD). This position additionally provides support to the Licensing and Technology Support Unit (LATSU) and serves as backup to the FOSS secretaries, as needed.

Responsibilities include:

  1. Reviewing and preparing correspondence, reports, and other documents.
  2. Processing incoming and outgoing mail.
  3. Maintaining files.
  4. Scheduling meetings and making travel arrangements.
  5. Fulfilling Freedom of Information Act (FOIA) requests.
  6. Providing information in response to customer inquiries.
  7. Occasionally proctoring certified operator exams.
  8. Assisting staff with processing federal grants issued by the CMPU, which includes reviewing and preparing grant agreements, amendments, applications, and reports.
  9. Ensuring templates and information are kept up to date.
  10. Providing secretarial support to other staff in the FOSS when needed.
  11. Processing the WRD's incoming and outgoing mail and answering the WRD's main telephone line on a rotating schedule with other clerical staff in the WRD.

Education
Educational level typically acquired through completion of high school.

Experience

Secretary 7:
Two years of office experience involving administrative support practices, including one year equivalent to 6-level administrative support experience.

Secretary E8:
Three years of office experience involving administrative support practices, including one year equivalent to experienced-level administrative support work or equivalent to a Secretary 7 or Legal Secretary 7.

The work location of this position will be Lansing, MI. However, the selected candidate may be eligible for a hybrid work schedule (combination of remote and in-person). Employees approved for schedules that include remote work must complete that work within Michigan. Relocation expenses are not reimbursed. When working remote, employees must use a designated workspace that is safe and professionally appropriate, allows for privacy, minimizes distractions, and includes secure internet access.
